National Permit Group is a dynamic small business located in the heart of West Hollywood, CA. We are a full-service permit and planning firm that helps residential and commercial clients throughout Southern California obtain city approvals for their projects. Our team works closely with homeowners, developers, and contractors, managing the permitting process from start to finish.

What sets us apart is our in-house design team that prepares architectural plans, allowing us to provide a complete solution for planning, design, and permitting.

We are currently looking for a highly organized Administrative & Permit Processing Assistant to join our team. This role is ideal for someone who is detail-oriented, comfortable handling accounting tasks, and capable of managing documentation related to permits and city approvals.

Responsibilities

  • Provide administrative support to the office and management team
  • Process permit applications and assist with city submissions and approvals
  • Write and process checks, assist with accounting tasks, and maintain financial records
  • Answer phones, take messages, and direct calls appropriately
  • Coordinate schedules, meetings, and appointments
  • Maintain organized physical and digital files for projects and permits
  • Assist with document preparation, formatting, and proofreading
  • Track project progress and communicate with city departments when needed
  • Manage office supplies and maintain inventory
  • Assist with special projects as assigned

Qualifications

  • Previous administrative assistant or office management experience preferred
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Professional communication and phone etiquette
  • Ability to work independently and manage multiple tasks
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Experience with Trello or project tracking software is a plus
  • Experience with QuickBooks or other accounting software is a plus
  • Experience with permit processing, construction, or city approvals is a strong plus

Job Type: Full-time

Pay: $50,000.00 - $65,000.00 per year

Benefits:

Schedule:

  • 8 hour shift
  • Monday to Friday
  • No weekends

Supplemental Pay:

Experience:

  • QuickBooks: 4 years (Required)
  • permit processing: 2 years (Preferred)
  • Office management: 4 years (Required)
