Administrative Assistant/Receptionist

Job Summary We are looking for a high-energy Administrative Assistant/Receptionist to be the welcoming face of our team! Responsibilities

  • First Impressions: Greet visitors and clients warmly to ensure they feel welcome.
  • Communication: Manage a multi-line phone system, directing calls accurately and professionally.
  • Scheduling: Handle front-desk duties like booking appointments and coordinating meetings.
  • Data & Records: Perform data entry, filing, and proofreading to keep our office organized.
  • Software Management: Use Microsoft Office and Google Workspace for reports and emails.
  • Office Operations: Help with mail, supply inventory, and basic bookkeeping (QuickBooks).
  • Direct Support: Assist with clerical tasks and personal assistant duties as needed.

Skills

  • Tech Proficient: Skilled in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
  • Organized Multitasker: Ability to stay focused and prioritize in a fast-paced environment.
  • Reliable Background: Previous experience in an office or clerical role with high attention to detail.
  • Customer-First Mindset: Excellent phone etiquette and people skills.
  • Language Skills: Bilingual abilities are a major plus for serving our diverse clients.
  • Niche Knowledge: Experience in medical/dental offices or QuickBooks is a huge advantage.
  • Proactive Attitude: Previous experience as a personal assistant or office manager is preferred.
