Job Summary/Basic Function
This position provides administrative support to the Vice President for University Advancement and the Director of Government Relations. This requires discretion, good judgment, knowledge of University Advancement’s departments (Advancement Services, Alumni Relations, Development, Events, Government Relations, and Marketing & Communications), university processes, budgetary processes, and administrative skills. This position maintains confidentiality in working with private/sensitive information. Prepares prospect research profiles for use in the identification, qualification, and solicitation of university alumni and friends. Screens calls for VP office and provides information on VP’s and University Advancement’s activities and schedule. Strategically manages the Vice President’s calendar to schedule meetings, travels, etc. Manages inventory and maintenance of equipment and supplies. Assists Advancement Services in helping input information into CRM database. Works with minimal supervision.
Required Qualifications
Required:
- Associate’s degree or equivalent combination of education and experience.
- 4 years of full-time administrative support and/or office management experience
Preferred Qualifications

- Familiarity with higher education systems and processes.
- Sufficient experience or education/training to illustrate capability to interface with administrators and general public at an executive level.
- High level of professional judgment and confidentiality, ability to interact effectively with executive level administrators within and outside the university.
- Ability to prioritize multi-task environment, meet deadlines, work effectively under stress.
- Flexibility and creativity; ability to analyze, facilitate changes, and make decisions independently.
- Accurate record keeping skills, knowledge of office functions and routines.
- Excellent interpersonal, oral, and written communications skills.
- Excellent team skills in working with other office personnel.
- Demonstrated ability to work with confidential/sensitive information
- Proficiency in use of PC, e.g., word processing, database management, spreadsheets, graphics, electronic mail, and Internet use.
