Job Description

AEI is seeking a highly organized Administrative Coordinator to support Senior Project Engineers and expert staff. Reporting to the Administrative Manager, this client-facing role requires professionalism, discretion, and strong customer service skills.

This is a full-time, in-office position at AEI’s Littleton headquarters (Monday–Friday, 8:00 a.m.–5:00 p.m.). Occasional overtime may be required. This role is not eligible for remote work.

Key responsibilities include reviewing, editing, formatting, and proofreading technical reports for client delivery and potential legal use, requiring exceptional attention to detail. The role will also assist with travel and calendar coordination.

The ideal candidate will have basic bookkeeping skills and provide backup support for invoicing, expenses, and financial records. Familiarity with QuickBooks and Microsoft Excel is preferred. This position is ideal for someone who can manage multiple priorities in a fast-paced environment.

Basic Qualifications

  • 3-5 years’ experience:
  • Technical writing
  • Proofreading and formatting
  • Fully proficient user of standard MS Office products, Adobe, and standard accounting software
  • Customer Service

  • Calendar coordination
  • Ability to multitask and prioritize in a deadline-driven environment
  • Excellent attention to detail and organizational skills
  • Ability to work independently as well as part of a team

  • A high level of organization and the ability to understand document contents will be crucial for this role. This role will act as the primary resource for tracking and sorting files that are provided by AEI’s clients.

The starting pay range for this position is between $60,000 and $67,000/year.
