Administrative Executive

About the Company:

We are a service-oriented business providing project-based solutions to various clients. Our work environment values professionalism, quick thinking, and effective communication. We are looking for a sharp, detail-oriented, and responsible Administrative Executive to manage email communications, support administrative tasks, and interact with clients and third parties in a formal, structured environment.

Key Responsibilities:

  • Email Communication Management:
  • Read, understand, and professionally respond to client and third-party emails.
  • Accurately address queries regarding services, clients, and project updates.
  • Escalate important issues to relevant team members promptly.
  • Client & Third-Party Interaction:
  • Handle incoming calls and provide professional responses.
  • Respond to inquiries from clients, vendors, and service partners regarding ongoing work.
  • Maintain a courteous and confident tone in all verbal and written interactions.
  • Documentation & Summarization:
  • Read and summarize complex English documents (100+ pages where needed).
  • Draft formal correspondence, letters, and internal reports.
  • Administrative Support:
  • Assist with daily office operations and project-related tasks.
  • Organize digital and physical files, manage documentation, and track deadlines.
  • Maintain proper record-keeping and confidentiality.
  • MS Office and Excel Proficiency:
  • Create and manage spreadsheets for project data and internal reporting.
  • Use MS Word for document preparation and MS Outlook for emails and scheduling.
  • Web Research and Browsing:
  • Conduct targeted internet research and present relevant findings.
  • Stay informed on industry topics and support the team with timely information.
  • Task & Time Management:
  • Balance multiple tasks while maintaining high attention to detail.
  • Meet deadlines without compromising quality.
  • Professionalism & Confidentiality:
  • Handle sensitive information with discretion.
  • Represent the company in a polite, professional manner in all settings.

Required Skills & Qualifications:

  • Minimum 16 years of education (e.g., BA (Hons), BBA, BS, MA, MBA or equivalent from a recognized institution).
  • Excellent English communication skills – written, verbal, and comprehension.
  • High IQ, fast learning ability, and problem-solving mindset.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Comfortable reading and summarizing detailed English documents.
  • Skilled in internet research and web-based tools.
  • Organized, proactive, and responsible.

Preferred (Not Mandatory):

  • Prior experience in an administrative, executive support, or client communication role.
  • Familiarity with CRM tools or project tracking software.
