We are looking for a reliable and organized Administrative & Operations Assistant to support our team and help keep day-to-day operations on track.

Position Overview
This role is ideal for someone who is highly organized and detail-oriented. You will assist with scheduling, coordination, and general administrative tasks, while gradually taking on more responsibility in areas like billing support, reporting, and operations as you grow in the role.

Key Responsibilities

Administrative Support

  • Answer phones and assist clients in a friendly and professional manner
  • Help manage calendars and schedule appointments for technicians
  • Organize emails, documents, and internal systems
  • Assist with general office tasks (receiving shipments, coordinating deliveries, etc.)

Scheduling & Coordination

  • Schedule service calls and help coordinate technician availability
  • Follow up with clients and team members to keep work moving
  • Help track open tasks and ensure nothing falls through the cracks

Operations Support

  • Assist with managing service tickets and updating internal systems
  • Help ensure work is properly documented and organized
  • Support internal processes and help improve efficiency over time

Billing & Purchasing Support

  • Assist with reviewing completed work for billing
  • Help track equipment, materials, and orders
  • Support purchasing and vendor coordination

General Team Support

  • Pitch in where needed — this is a team-oriented environment
  • Assist multiple team members with day-to-day needs
  • Occasionally help with local errands or office-related tasks

Qualifications

  • Strong organizational skills and attention to detail
  • Comfortable using computers and learning new software systems
  • Good communication skills (written and verbal)
  • Friendly, professional, and team-oriented
  • Familiarity with Excel
  • Interest in business operations or project coordination

Pay: $50,000.00 - $60,000.00 per year
