Administrative Professional

About the Role

We are seeking a friendly, organized, and proactive Administrative Professional to serve as the face of our primary office location. This individual will be the first point of contact for our clients both in person and over the phone playing a key role in creating a welcoming, professional, and positive experience from the moment someone walks through our doors or calls in.

This is more than a typical receptionist role. We’re looking for someone who takes initiative, enjoys staying busy, and contributes to a positive, team-oriented office environment.

Key Responsibilities

  • Greet clients and visitors with a warm, welcoming, and professional demeanor.
  • Answer incoming calls promptly, route appropriately, and take accurate messages.
  • Assist walk-in clients with initial needs and ensure a smooth handoff to team members.
  • Respond to general inquiries about insurance products and services.
  • Maintain a clean, organized, and inviting reception area.
  • Scan, organize, and file documents accurately.
  • Sort and distribute incoming mail and after-hours drop-offs daily.
  • Assist with administrative tasks including data entry, filing, and document preparation.
  • Monitor and order office supplies as needed.
  • Support daily office operations and assist team members as needed.

What We’re Looking For

  • Prior experience in customer service and/or answering phones strongly preferred
  • Exceptionally friendly, personable, and customer-focused attitude
  • Strong communication skills and attention to detail
  • Ability to multitask and stay organized in a fast-paced environment
  • Self-motivated with the ability to take initiative and manage time effectively
  • Positive, team-oriented mindset with a willingness to help wherever needed

Pay: From $41,600.00 per year
