Overview
We are seeking a dynamic and organized Administrative staff member to join our team! In this vital role, you will be the welcoming face of our organization, managing front desk operations with enthusiasm and professionalism as well as administrative tasks monitoring that the services are handled smoothly and efficiently. Attention to detail will ensure smooth daily operations, exceptional customer service, and efficient office management. This position offers an exciting opportunity to be the first point of contact for visitors, clients, and staff while supporting various administrative functions that keep our workplace running seamlessly.
Responsibilities
- Greet visitors, clients, and staff with a friendly and professional demeanor, creating a positive first impression.
- Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette.
- Handle front desk duties
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records.
- Assist clients with routine tasks and monitor for completion.
- Support clerical tasks such as photocopying, faxing, scanning documents, and organizing files for easy retrieval.
Skills
- Proven experience in office management or administrative roles with strong organizational skills.
- Familiarity with a dispatch/service type environment is a big plus.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
- Strong typing skills with attention to detail for proofreading documents accurately.
- Experience with multi-line phone systems and phone etiquette to handle high call volumes efficiently.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Familiarity with QuickBooks or bookkeeping software is a plus for supporting financial tasks.
- Exceptional customer service skills combined with professional demeanor and interpersonal communication abilities.
- Ability to manage time effectively while balancing multiple responsibilities in a fast-paced environment.
- Previous experience as a dental or medical receptionist is advantageous but not required; relevant clerical or personal assistant experience is valued too.
