Receptionist/Administrative Assistant

Job Overview
We are seeking an organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will be the first point of contact for visitors and callers, managing multiple tasks with enthusiasm and professionalism. Your proactive approach will help create a welcoming environment while efficiently handling clerical duties that keep our office running seamlessly.

Duties

  • Greet visitors and clients warmly, providing outstanding customer service and ensuring a positive first impression.
  • Ability to perform basic office tasks such as answering phones, recordkeeping, filing, and scanning.
  • Work with vendors to handle issues, collect invoices, and keep accounts current.
  • Work with other departments to obtain proper signatures and confirm invoices.
  • Handle front desk operations, including scheduling appointments, managing mail, and maintaining visitor logs.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Collects and maintains sample product logs.
  • Orders and maintains an inventory of office supplies.
  • Organizes travel arrangements.
  • Support trade show planning, registration, and logistics.
  • Assist with expense reports and credit card reconciliations for senior management.
  • Prepare meeting agendas and take meeting notes when needed.
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for various administrative tasks.
  • Maintain a tidy reception area and organize office supplies to promote efficiency.
  • Any additional responsibilities as assigned by manager.

Qualifications & Experience

  • High school diploma or equivalent required.
  • Strong organizational, multitasking, and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office and QuickBooks a plus.
  • Personal assistant or office management experience is highly desirable.
