Administrative / Scheduling Assistant to the CEO

Job Summary

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support our CEO in daily scheduling operations and day to day support. In this role, you will act as the CEO's right hand while managing the complex scheduling needs of our home health clients and staffing contracts. The ideal candidate thrives in a fast-paced office environment, possesses exceptional communication skills, works independently and anticipates administrative needs before they arise.

Key Responsibilities

Scheduling Coordination:

  • Manage client schedules: Learn the scheduling system, Axiscare, and assist CEO and office manager with new client setup, client schedule changes and facility scheduling requests.
  • Manage caregiver schedules: Assist CEO and office manager with caregiver schedule changes out of office requests,.
  • Handle urgent changes: Resolve last-minute cancellations, call-outs, and schedule adjustments quickly to ensure uninterrupted patient care.

Executive & Administrative Support:

  • Calendar management: Maintain, organize, and prioritize the CEO’s daily calendar, appointments, and meeting requests.
  • Communication gatekeeper: Screen incoming calls, manage emails, and draft professional correspondence on behalf of the CEO.
  • Document management: Prepare meeting agendas, take detailed minutes, and organize digital files within our agency database.
  • Special projects: Assist the office manager with payroll audits, paperwork, and basic HR onboarding tasks as needed.

Qualifications

  • Experience: Minimum of 2–3 years of administrative experience, or office work
  • Industry Knowledge: Prior experience in home health care, hospice, or healthcare environment is highly preferred.
  • Tech Savviness: Proficiency with Google Suite (Google Drive, Google Docs, Google Sheets, Gmail) Or Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn Google Suite.
  • Soft Skills: Exceptional problem-solving abilities, high emotional intelligence, and absolute discretion with confidential HIPAA-regulated information.
  • Availability: Ability to occasionally monitor scheduling emergencies outside of standard 9-to-5 office hours.

  • Salary: Hourly Pay during 90 day probationary period with transition to salary based on agreement from both parties to move forward.
