Administrative Supervisor

Job Summary

The Administrative Supervisor – Nursery is responsible for overseeing the daily administrative operations of the nursery to ensure smooth, efficient, and compliant functioning. This role supports teaching staff, parents, and management by coordinating administrative processes, maintaining records, supervising support staff, and ensuring adherence to nursery policies and regulatory requirements.

Key ResponsibilitiesAdministrative Operations

  • Oversee daily administrative activities of the nursery.
  • Maintain accurate records of student enrollment, attendance, fees, and documentation.
  • Prepare reports, correspondence, and official documents as required.
  • Ensure proper filing and confidentiality of student and staff records.

Staff Supervision & Coordination

  • Supervise administrative and support staff (reception, clerical staff, helpers).
  • Coordinate staff schedules, attendance, and leave records.
  • Support recruitment, onboarding, and documentation of new staff.
  • Act as a communication link between management, teachers, and support staff.

Parent & Visitor Relations

  • Serve as the first point of contact for parents and visitors.
  • Handle parent inquiries, complaints, and feedback professionally.
  • Coordinate parent meetings, events, and communication notices.

Financial & Office Management

  • Assist with fee collection, invoicing, and basic financial tracking.
  • Monitor office supplies and place orders as needed.
  • Support budget tracking and expense control related to administrative operations.

Compliance & Safety

  • Ensure compliance with nursery policies, licensing regulations, and health and safety standards.
  • Assist during inspections, audits, and regulatory visits.
  • Maintain emergency contact information and support safety procedures.

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Education, or a related field
  • Minimum 1 year of administrative experience, preferably in a nursery, school, or educational setting.
  • Knowledge of early childhood education environments is an advantage.

Skills & Competencies

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to supervise and coordinate staff effectively.
  • Proficiency in MS Office and basic administrative software.
  • Professional, patient, and child-friendly attitude.
  • Ability to handle confidential information with discretion.
