Job Summary
We are seeking a dedicated, organized, and detail-oriented Administrator to join our Real Estate team. The successful candidate will handle administrative and property management tasks, maintain accurate records, support management, and ensure smooth daily operations across the department.
Key Responsibilities
1. Administrative & Office Support
- Prepare, review, and manage Service Agreements, tenancy contracts, renewals, and other company documents.
- Handle general office administrative duties, correspondence, and filing systems (both digital and physical).
- Maintain and update staff files, including visas, contracts, and leave applications.
- Support management with day-to-day operational and documentation tasks.
- Coordinate with internal departments and ensure proper document flow and record keeping.
2. Property & Tenancy Management
- Maintain accurate tenancy records, including data entry of contracts, renewals, payments, and tenant details.
- Update the property management system with collections, renewals, and tenant information.
- Issue renewal and payment reminders to tenants and report follow-up status to management.
- Prepare monthly tenancy, collection, and occupancy reports.
- Liaise with tenants for contract renewals, payments, and inquiries.
3. Coordination & External Liaison
- Manage and follow up with service providers to ensure agreement fulfillment and smooth implementation.
- Handle government-related online services such as Ejari, DEWA, Dubai Municipality, and other portals.
- Coordinate with the PRO and other departments for documentation and regulatory compliance.
4. Compliance & Monitoring
- Monitor property insurance, service charges, and supplier contracts to ensure timely renewal and compliance.
- Maintain accurate records of all property and supplier documentation.
- Assist in preparing letters and official correspondences in English for management and clients.
- Track and report key performance indicators (KPIs) related to administrative performance, documentation accuracy, and task completion.
Requirements
- Bachelor’s degree or diploma in Business Administration or a related field.
- Minimum 2 years of experience in administration or real estate office work within the UAE.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong communication, coordination, and organizational skills.
- Familiarity with Ejari, DEWA, and government portals preferred.
- High level of confidentiality, accuracy, and attention to detail.
- Ability to multi-task, prioritize, and work independently under minimal supervision.

Pay: AED2,000.00 - AED2,500.00 per month
