Position Summary:
The Advancement Data Systems Manager is a key member of the Advancement team responsible for ensuring the integrity, consistency, and strategic use of Tessitura, the museum’s CRM and ticketing system. This role serves as the internal expert on data governance, reporting, analytics, and system optimization, and plays a critical role in supporting fundraising, membership, and event operations across the department. The position works closely with IT, Finance, and other museum departments to ensure data systems reflect Advancement goals and operational needs.

This role requires an analytical, detail-oriented professional with deep knowledge of CRM best practices, exceptional problem-solving skills, and the ability to collaborate and train colleagues at all levels.


Major Duties and Responsibilities (Essential Functions):

Data Integrity and Governance:
  • Serve as the primary Tessitura database steward for the Advancement department
  • Maintain and enforce data entry standards, naming conventions, deduplication rules, and data governance policies
  • Ensure compliance with industry best practices for donor and member data
  • Process and oversee accurate gift entry to ensure timely and correct recording of donations in Tessitura.

Reporting and Analytics:
  • Design, maintain, and improve reports and dashboards to support fundraising, membership, and event goals
  • Create mailing lists, segmentation, and audience exports for campaigns and invitations
  • Analyze giving trends, membership retention, and campaign performance and advise on data-informed decision-making
  • Prepare and deliver quarterly financial reports for the Board of Trustees, coordinating with Finance and Advancement leadership to ensure accuracy and clarity.

System Oversight and Optimization:
  • Monitor Tessitura performance and recommend system enhancements to improve Advancement workflows
  • Troubleshoot system errors and coordinate with IT and Tessitura support when needed
  • Document and optimize internal Tessitura-related processes

Staff Training and Support:
  • Train Advancement and other relevant staff on Tessitura use, including data entry protocols and report generation
  • Create and maintain user documentation and training resources
  • Act as a resource for Tessitura-related questions and support tickets within the department
  • Cross-departmental training coordination
  • Liaise with IT, Finance, and Public Programs to ensure data accuracy across systems and departments
  • Work with Senior Development Officer for Advancement Operations and Annual Giving and department leadership on long-term system strategy

Minimum Qualifications:
  • Bachelor’s degree or equivalent experience required.
  • Minimum three years of experience in nonprofit CRM/database management (Tessitura, Raiser’s Edge, Salesforce, etc.)
  • Strong knowledge of fundraising data workflows, list segmentation, and reporting.
  • Demonstrated experience building and managing reports and dashboards.
  • Excellent analytical, organizational, and troubleshooting skills.
  • Strong communication and interpersonal skills, including the ability to train and support non-technical staff.
  • Ability to work independently while contributing to a collaborative team environment.
  • Ability to manage competing priorities in a fast-paced environment with accuracy and discretion.

    • Ability to sit at a desk/workstation and use a computer for prolonged periods of time.
    • Ability to lift up to 20 pounds occasionally
  • Work Environment: Work will be performed in an office environment and museum spaces. The noise level in the work environment is usually low to moderate. Some overnight travel may be necessary.
