AI Operations Architect — Remote | US Clients

Role: AI Operations Architect

Engagement: Full-time dedicated placement, remote

Client type: U.S.-based small businesses and nonprofits

Compensation: $400–550/mo depending on experience and geography

A note on who this is for

You are not a virtual assistant. You are an embedded systems builder — the person who takes a founder or Executive Director's highest-priority work and turns it into organized, automated, and documented operations. You work at the intersection of AI tools, workflow design, and direct execution.

That's exactly who we're looking for.

WHAT THIS ROLE IS

You will manage donor relations and operations for US-based nonprofits and community organizations. These are mission-driven organizations — Islamic education institutions, social impact nonprofits, community foundations — that need someone who understands how they work and genuinely cares about the work they do.

You'll own the donor side: acknowledgments, stewardship, campaign coordination, reporting. You'll flag what's falling through the cracks before it damages a relationship.

KBC will train you in our systems and US nonprofit standards. The drive to serve this mission has to be yours

WHAT YOU'LL DO

Systems & Automation

  • Audit the client's existing workflows and identify the top 3–5 highest-friction points
  • Build and maintain automations using Make, Zapier, or n8n to eliminate manual repetitive tasks
  • Set up and manage project management systems (Notion, Airtable, or Monday) and keep them current
  • Create SOPs and document all recurring processes so nothing lives only in someone's head

AI Tool Management

  • Deploy and manage AI tools on behalf of the client (Claude, ChatGPT, Perplexity, etc.)
  • Build prompt libraries and AI workflows for recurring content, research, and communications tasks
  • Monitor outputs for quality and refine prompts over time

Operational Support

  • Own the founder or ED's task inbox — triage, prioritize, and surface the highest-leverage items daily
  • Manage recurring vendor communications, scheduling, and follow-ups
  • Prepare weekly operational summaries and flag blockers before they escalate

WHAT WE'RE ACTUALLY LOOKING FOR

Your background could be a large INGO, a small mosque fundraising committee, a community relief effort, or anything in between. We care less about the size of the organization and more about whether you understand the relationship between a nonprofit and the people who fund it.

  • 1–3 years of experience in any nonprofit, NGO, INGO, Islamic charity, or community organization
  • You understand donor culture — what a thank-you letter means, why lapsed donors leave, what stewardship actually looks like
  • Strong written English — donor communications require care and precision
  • Detail-oriented and trustworthy with sensitive information
  • Driven by more than a paycheck — this work connects to something larger

Non- negotioable Requirements:

  • Proficient written English — client-facing communications required
  • Hands-on experience with at least one automation tool (Make, Zapier, n8n)
  • Comfortable with AI tools beyond casual use — can build workflows, not just chat
  • Systems thinker — you see a broken process and immediately visualize a fix
  • University-educated, ideally in business, engineering, or information systems
  • Strong advantage:
  • Prior exposure to U.S. business or nonprofit culture (Gulf work experience counts)
  • Experience with CRMs (HubSpot, Salesforce, Zeffy, or similar)
  • Familiarity with async-first work (Loom, Slack, documented handoffs)
