The Role

As an Administrative Assistant with Worley, you will work closely with our existing team to deliver projects for our clients while continuing to develop your skills and experience etc

  • MS Administration
    • Continuously monitor the performance of the Management System, troubleshoot issues and report defects and failures.
    • Work closely with Business Process Owners to ensure continuous improvement of the Management System content in line with Company Business Processes.
    • As necessary, initiate automation ideas to improve the system.
  • MS - Improvement Suggestion
    • Incorporate all Improvement Suggestion changes and confirm they comply with the Management System Key Principles.
    • Modify documents following change requests from the improvement suggestion and upload them into the Management System.
    • Conduct change impact analysis on all proposed document changes using appropriate tools and systems.
      Assign Improvement Suggestions to scheduled releases.
    • Ensures the published global documentation in compliance with the Worley Brand.
    • Prepares and communicates the summary of changes for each scheduled release cycle.
    • Maintain the supporting tools exist within the system and work closely with the technical team to maintain the integrity. This includes Power Automate, Power BI, PowerApps.
    • Onboard new appointed Business Process Owner by managing access and conducting induction session.
  • MS - Deviation
    • Monitor the performance of deviation system, troubleshoot issues and report defects and failures.
    • Onboard new appointed approvers by managing access and conducting induction session.
  • MS - Periodic Review
    • Monitor the periodic review system, troubleshoot issues and report defects and failures.
  • Envizi Administration
    • Ensure data completeness related to energy consumption, waste management and other sustainability metrics for all Worley locations in Envizi.
    • Provide support for data capturing into Envizi if required.
    • Implement data validation and assist with the interpretation of evidence (e.g., invoices, consumption reports etc.).
    • Regularly perform the data health review and investigate the anomalies.
    • Reconcile the properties list between Envizi and Tririga (property system) to ensure the Envizi setup aligns with Tririga.
    • Track the emissions reduction initiatives via the program module in Envizi.
    • Support the annual audit process by providing the requested information and evidence.
    • As necessary, initiate automation ideas to improve the system.
  • User Administration
    • MS and Envizi - Manage user accounts, permissions, and access rights to ensure appropriate access to resources.
    • MS - Create, modify, and delete user accounts as needed.
    • Envizi - Create, modify, and close the locations or accounts as needed.
    • Envizi - Troubleshoot database-related issues and escalate if required to IBM Envizi.
  • Interfacing the business
    MS

    • Provide transactional non-billable tasks support to business.
    • Collaborate with Regional Assurance Analysts and others to identify and transition non-billable transactional tasks to Shared Services, share best practice, lessons learnt and improve knowledge management. Participate in relevant internal networks and contribute to their success.
    • Participate in and support management system related activities, assessments and initiatives as required.
    • Develop and maintain training support materials such as Quick Reference Guides, FAQ’s, etc. Assist with training and coaching for operational staff where necessary.
    • Maintain Management and Knowledge System SharePoint site
      Working with other IT teams and end-users to optimize the infrastructure and ensure smooth operations.


    Envizi

    • Participate in and provide support for activities related to sustainability initiatives.
    • Develop and maintain training support materials such as Quick Reference Guides. Assist with training and guidance for the facilities managers and data entry focal points when necessary.
    • Work closely with the data team to ensure the sustainability dashboards are accurately maintained and up-to-date. It also includes troubleshooting and resolving any issues related to dashboard functionality.
  • Daily support

    • Issues investigation and replication in non-prod environments
    • Troubleshooting

    • Knowledge transfer and sharing
    • Any ad hoc basis as necessary
  • WalkMe maintenance
    • Liaise with WakMe support team (internal & external)
    • Create and maintain SmartTips, Walkthrough, Need Help widget
  • System maintenance and monitoring
    • Ensure system is always up and running
    • System performance checks
    • Usage statistic


About You

To be considered for this role it is envisaged you will possess the following attributes:

  • Knowledge / Experience / Competencies Required
    Job Specific Skills:
    • Database administration that encompasses configuration, troubleshooting and technical support
    • Awareness of risk, quality, health, safety, environment business and project processes and practices
    • Excellent interpersonal and written communications skills
    • Attention to detail and ability to meet deadlines while delivering high quality results
    • Ability to think analytically and logically
    • Database administration that encompasses storage, retrieval and updating of sustainability metrics.
    • Familiarity with sustainability metrics related to Scope 1,2 & 3 emissions.
    • Knowledge of sustainability data analysis and reporting.
  • Education – Qualifications, Accreditation, Training:
    • A recognized Bachelor Degree in Computer Science or equivalent qualification/ experience with 1 - 3 yrs of experience.
    • Web technology and network experience or similar
  • IT Skills:
    • Expert in MS Office applications and MS SharePoint 2013
    • Knowledge of systems (operating systems and configurations)
    • Analytical problem solving skills
    • Ability to execute system testing
    • Experience with data visualization and reporting tools (e.g., Power BI)
  • People Skills:
    • Attention to detail and ability to meet deadlines while delivering high quality results.
    • Strong analytical and problem-solving abilities.
    • Able to identify issues; develop appropriate and innovative solutions; and ask for assistance if required.
    • Excellent verbal and written communication skills, including the ability to convey information and ideas to individuals and groups, and make presentations when required.
    • Actively and effectively communicate with others.
