Appointment Support Coordinator

About the Role

The Appointment Support Coordinator manages scheduling workflows, client communication, and administrative tasks to ensure appointments are organized, confirmed, and completed smoothly. This role is ideal for someone who is detail‑oriented, reliable, and comfortable working in a structured remote environment.

Responsibilities

  • Manage incoming appointment requests via phone, email, chat, or internal systems
  • Schedule, confirm, and update appointments in the company calendar
  • Communicate with clients to gather required information before appointments
  • Send reminders, confirmations, and follow‑up messages
  • Assist with rescheduling, cancellations, and last‑minute changes
  • Coordinate with internal teams to verify availability and documentation
  • Maintain accurate records of all appointments and client interactions
  • Monitor communication channels and respond promptly to inquiries
  • Support general administrative tasks as needed

Required Qualifications

  • 1–2 years of experience in scheduling, customer service, or administrative support
  • Strong written and verbal communication skills
  • Excellent organizational and time‑management abilities
  • Ability to multitask and work independently in a remote environment
  • Proficiency with scheduling tools, CRM systems, or calendar platforms
  • Reliable internet connection and computer access

Preferred Qualifications

  • Experience in a remote support role
  • Familiarity with appointment‑based industries (healthcare, service providers, consulting, etc.)
  • Strong attention to detail and problem‑solving skills
