Appointments clerk/ dispatcher

Job Summary
We are seeking a proactive and detail-oriented Appointments Clerk/Dispatcher to coordinate and manage scheduling for transportation and logistics operations. In this vital role, you will serve as the central communication hub, ensuring timely dispatching of freight, shipments, and service appointments. Your energetic approach will help streamline daily workflows, optimize fleet utilization, and enhance overall supply chain efficiency. Responsibilities

  • Manage incoming calls using multi-line phone systems, providing clear and professional communication with clients, drivers, and internal teams.
  • Schedule and dispatch freight pickups, deliveries, and service appointments utilizing transportation management systems such as Oracle Transportation Management or SyteLine.
  • Coordinate with third-party logistics providers (3PL), carriers, and warehouse staff to ensure accurate shipment processing and shipping & receiving operations.
  • Utilize GPS and GIS tools to monitor vehicle locations, optimize routes, and improve transportation planning efficiency.
  • Enter data accurately into systems like AS400 or transportation management platforms to maintain up-to-date records of shipments, schedules, and fleet status.
  • Assist with freight tracking, status updates, and problem resolution through effective communication skills and phone etiquette.
  • Support fleet management activities by tracking vehicle availability, maintenance schedules, and driver assignments to maximize operational productivity.

Qualifications

  • Proven experience in dispatching or transportation coordination within a logistics or supply chain environment.
  • Strong analysis skills for route planning, freight management, and data entry accuracy.
  • Familiarity with transportation management systems such as Oracle Transportation Management or SyteLine is highly preferred.
  • Knowledge of GPS, GIS technology, and transportation planning tools to enhance dispatching efficiency.
  • Excellent communication skills with the ability to handle multi-line phone systems professionally.
  • Ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
  • Basic typing skills for quick data entry; experience with AS400 or similar platforms is a plus.
