- Job title: Arabic Speaking Executive Secretary – Qatar
- Summary: Provides high‑level bilingual (Arabic and English) administrative and secretarial support to senior management, ensuring efficient office operations, professional communication, and effective coordination of meetings, travel, and confidential documents.
Key responsibilities
- Manage the executive’s calendar, schedule meetings, and coordinate internal and external appointments, ensuring priorities are respected.
- Prepare meeting agendas, take minutes in Arabic and English, and follow up on action items with relevant departments.
- Draft, translate, and format correspondence, emails, reports, and presentations in Arabic and English, ensuring accuracy and professionalism.
- Receive and screen phone calls, visitors, and emails; handle inquiries in Arabic and English and route them appropriately.
- Organize travel arrangements (flights, hotels, visas) and prepare detailed itineraries and expense reports for the executive.
- Maintain organized filing systems (electronic and hard copy), including confidential records, contracts, and legal or HR documents.
- Coordinate with internal departments and external stakeholders (clients, suppliers, government entities) to support executive decisions and projects.
- Handle basic office administration tasks such as preparing forms, following up on approvals, and supporting HR or finance documentation as needed.
Qualifications and skills
- Bachelor’s degree in Business Administration, Office Management, Languages, or a related field (or equivalent experience).
- Minimum 3–5 years’ experience as Executive Secretary, Executive Assistant, or Senior Administrative Assistant, preferably in Qatar or the GCC.
- Native or fluent Arabic, with strong written and spoken English.
- Excellent MS Office skills (Word, Excel, PowerPoint, Outlook) and good familiarity with office equipment and digital filing systems.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities under pressure.
- High level of confidentiality, professionalism, and discretion when handling sensitive information.
Preferred/Qatar‑specific requirements
- Good knowledge of local business culture, government procedures, and basic document types used in Qatar (letters to ministries, NOCs, etc.).
