Archiving Officer

We’re looking for a motivated and detail-oriented Archiving Officer to join our dynamic Student Affairs (Admissions) Team. In this role, you’ll be responsible for organizing, maintaining, and safeguarding all student admission records — ensuring they are accurate, secure, and easily accessible.

Key Responsibilities
- Organize, classify, and archive student admission documents, both physical and electronic, in line with university policies.
- Maintain accurate records in the admissions system, ensuring data is complete and up to date.
- Digitize documents and manage electronic filing for easy retrieval by the admissions team.
- Ensure all archived files comply with data protection regulations and confidentiality requirements.
- Retrieve documents promptly to support admissions staff and respond to internal requests.
- Conduct regular audits of both physical and digital records to ensure completeness and accuracy.
- Assist with the secure disposal of records according to retention policies.
- Collaborate with the admissions team to improve archiving workflows and support departmental efficiency.
- Contribute to reports, audits, and continuous improvement initiatives within the department.

Qualifications & Requirements
- Bachelor’s degree from a recognized university (required).
- Fluent English communication skills — both spoken and written (required).
- 1–3 years of experience in document management, archiving, or administrative roles (preferably in higher education).
- Strong organizational skills and exceptional attention to detail.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with document management systems.
- Ability to manage multiple priorities and work effectively under pressure.
- A team player with a positive attitude, eager to learn and grow within a supportive environment.
