Assistant Accountant

Job Description: Assistant Accountant

The Assistant Accountant is responsible for managing incoming and outgoing payments, maintaining accurate financial records, and ensuring timely collection of outstanding balances as well as processing company payables. This role works closely with customers, vendors, and internal teams to resolve billing issues and support the organization’s cash flow.

Key Responsibilities

  • Generate, review, and send customer invoices accurately and on time (Accounts Receivable)
  • Monitor accounts to identify outstanding balances and follow up on overdue payments
  • Post customer payments (checks, ACH, wire transfers, credit cards) to the accounting system
  • Reconcile customer accounts and resolve billing discrepancies
  • Process vendor invoices and ensure timely payments (Accounts Payable)
  • Prepare and process payments to suppliers via check, bank transfer, or other payment methods
  • Reconcile vendor statements and resolve discrepancies
  • Maintain and update accounts receivable and accounts payable ledgers
  • Communicate with customers and vendors via phone and email regarding payment status
  • Prepare and maintain accounts receivable and accounts payable aging reports
  • Assist with month-end closing related to receivables and payables
  • Maintain accurate financial records in compliance with company policies and accounting standards
  • Collaborate with sales, customer service, procurement, and accounting teams to resolve account issues
  • Support audits by providing requested documentation and financial reports
