Job Summary

We are seeking a detail-oriented and dependable Assistant Administrator to support the smooth functioning of daily administrative and operational activities in a fast-paced BPO environment. The role requires close coordination with HR, Operations, IT, and Management to ensure efficient office administration, staff management, policy compliance, and uninterrupted business operations.

Key Responsibilities

Administrative & Office Operations

  • Support daily office administration and ensure smooth operational flow
  • Maintain and organize physical and digital records, files, and documentation
  • Manage office supplies, inventory, and vendor coordination
  • Assist in preparing administrative reports, trackers, and summaries

Staff Coordination & Attendance

  • Maintain attendance records, shift rosters, and leave data
  • Coordinate with team leads and HR on staffing requirements and schedule adjustments
  • Monitor punctuality and adherence to assigned shifts
  • Assist in onboarding formalities and documentation for new hires

Compliance & Policy Implementation

  • Ensure adherence to company policies, SOPs, and BPO compliance standards
  • Support implementation of workplace rules, discipline, and operational guidelines
  • Assist management in communicating policies and procedural updates to staff

Interdepartmental Coordination

  • Liaise with HR, Operations, IT, and Finance teams for administrative support
  • Coordinate access, system requests, and workplace arrangements with IT
  • Support operational teams with documentation and logistical needs

Reporting & Management Support

  • Prepare daily, weekly, and monthly administrative reports
  • Track operational issues and escalate to management when required
  • Assist senior management with scheduling, follow-ups, and internal communications

Requirements & Qualifications

  • 2 to 3 years of experience in an administrative role (BPO experience preferred)
  • Strong organizational, coordination, and multitasking skills
  • Good verbal and written communication skills
  • Proficiency in MS Office (Excel, Word, Outlook)
  • Ability to work 12-hour shift in a high-pressure BPO environment
  • Basic understanding of HR, admin, and operational processes
  • Problem-solving mindset with attention to detail
