Assistant Controller

FLSA: Salary/Exempt

CLASSIFICATION : Full-time, year-round

REPORTS TO: Controller

SCHEDULE: Monday-Friday, 9:00AM-5:00PM


GENERAL SUMMARY:

The Assistant Controller is responsible for supporting the organization’s financial operations through the accurate and timely processing of member billing, vendor invoices, payments, and account reconciliations. This role manages daily accounting functions related to accounts receivable and accounts payable, assists with month-end and year-end processes, and provides administrative support across departments. The position requires strong organizational skills, attention to detail, professionalism, and the ability to handle confidential information in a fast-paced environment.


PRIMARY DUTIES AND RESPONSIBILITIES:

Accounts Receivable (A/R)

  • Post daily member charges, including golf, food & beverage, spa, and other club-related activities
  • Update and maintain daily sales and golf rounds reports
  • Generate and distribute monthly member statements, including dues and fees
  • Apply payments received via checks, ACH, and credit cards to member accounts
  • Respond to member billing inquiries and resolve account discrepancies in a professional and timely manner
  • Assist with month-end closing procedures related to accounts receivable


Accounts Payable (A/P)

  • Manage the full invoice lifecycle within the automated accounts payable system, ensuring invoices are submitted and routed to the appropriate department heads
  • Process vendor payments according to invoice due dates and submit payment batches for Controller review
  • Obtain and reconcile monthly vendor statements, ensuring accuracy and timely resolution of discrepancies
  • Manage company credit card activity through RAMP, ensuring receipts, memos, and expense coding are submitted accurately and on time for Controller review
  • Maintain vendor master files, including W-9 forms and certificates of insurance, and process credit applications for new vendors
  • Assist with year-end preparation of 1099 and 1096 forms


Additional Responsibilities

  • Prepare and maintain biweekly gratuity spreadsheets
  • Support HR with administrative tasks and special projects as needed
  • Oversee inventory processes, including spreadsheet updates, spot checks, and cost of goods sold (COGS) testing
  • Assist with monthly reconciliations, special projects, and other duties as assigned by the Controller or CFO


EDUCATION AND EXPERIENCE REQUIRED:

  • Bachelors Degree in Accounting or related field
  • Minimum of 3 years of experience in a private club
  • Detail-oriented with strong organization and documentation skills
  • Embraces technology and continuous process improvement

  • The employee is regularly required to stand and/or sit for long hours.
  • Work is performed in a professional office setting utilizing telephone, computer, and other office equipment.
  • Ability to perform first aid and CPR while utilizing the emergency equipment.
  • Move or lift objects up to 30 pounds.
  • Communication, to include: reading, hearing, and talking with employees and members.
  • Must have close, distance, peripheral, and color vision along with the ability to adjust focus.
