Assistant Dispatcher

Position Summary

The Assistant Dispatcher supports daily field operations for the electrical division by coordinating manpower, scheduling crews, and ensuring efficient communication between the field and office. This role assists with dispatching electricians and service technicians to project sites, tracking job progress, and maintaining accurate scheduling records.

Key Responsibilities

1. Call Management & Customer Support • Answer incoming phone calls promptly and courteously, providing a professional first point of contact. • Assess caller needs and route calls to the appropriate department or team member.

2. Purchase Order Processing • Enter and maintain purchase orders (POs) accurately in the system. • Verify all documentation, pricing, and vendor information before submitting it to AP. • Monitor pending POs and communicate with customers of ETA.

3. Receipt & Expense Documentation • Collect, organize, and record per diem and hotel receipts for field technicians. • Ensure all documentation meets company requirements for compliance and reimbursement.

4. Fleet & Inventory • Coordinate scheduled vehicle maintenance, including oil changes (P1011). • Assist with tracking service materials, tools, and supplies.

5. Billing & Payment Support • Assist sending email reminders for outstanding bill payments. • Maintain communication logs for billing follow‑up.

6. Reporting & Work Order Documentation • Generate and distribute job reports for maintenance work orders. • Ensure reporting reflects photos, completed work description, and signatures.

7. Scheduling & Job Coordination • Update the shared calendar with ETAs for material arrivals when ordered with supply houses. • Receive fed ex and UPS deliveries
