Key Accountabilities
1. Develop and maintain enrolment strategies to cultivate new student enquiries and by providing an efficient, informative and client responsive service to prospective families so that the school reaches and maintains its capacity of student enrolment at all time;
2. Maintain records of vacancies/withdrawals and inform the line managers immediately for possible remedial actions;
3. Handle telephone and e-mail inquiries, prepare and mail prospectus and materials, follow up telephone calls and e-mails and complete letters of acceptance and changes of enrolment;
4. Create a sense of urgency for all parent/visitor related matters and enhance the efficiency levels of all those who interact with the public.
5. Organize open days;
6. Meet the prospective parents and provide them with accurate information about various courses offered at different levels.
7. Arrange school tours that are informative and positive experience for prospective parents and enrolled students and their families;
8. Conduct admission tests, schedule interviews and report to the Principal;
9. Register new students by verifying vacancy, eligibility, documents, past records, immunization, etc., and enter data into Orison- the computerized student record system and review periodically;
10. Ensure information on Orison is update regularly and reports are produced immediately when requested.
11. Ensure new parents and students have a clear understanding of school recognition and policies and procedures;
12. Consult the SEND coordinator, transport coordinator etc. at all times before committing to providing such school services;
13. Schedule and arrange new student and parent orientations;
14. Manage student record system for all enrolling and withdrawing students, receiving and sending records of transport, immunization and SEND, creating/generating/changing student class schedules and generating student reports;
15. Maintain student files and developing reports on prospective enrolment numbers, statistical information on student enrolments/withdrawal and comparisons between past and current student numbers;
16. Prepare a variety of documents and reports including transfer/transcripts, grading, and correspondence;
17. Arrange student and parent meetings with Principal for all new admissions;
18. Complete all secretarial/clerical functions of the department in an efficient and timely manner;
19. Assist staff with the preparation of reports and student data information;
20. Complete and submit and follow up all Ministry required reports;
21. Help the line managers with schedules to conduct exit interviews of students and parents;
22. Maintain confidentiality on students and parents matters;
23. To be courteous to telephone callers, visitors, parents and colleagues and provide a welcoming environment;
24. Monitor and evaluate problems, conditions and needs of the Registration Department;
25. Develop a system to collect feedback from visitors and parents;
26. Promote and practice professional growth and development;
27. Commit to tasks which may require additional effort and time for the benefit of the school;
28. Work as a team member without conflicts.
29. Register students in MOE.
30. Get necessary approvals from MOE for staff and students.
31. Be update at all times about the rules and regulations of MOE.
32. Take up and fulfill other responsibilities as requested by the line managers.
