Overview Of The Role:
The Assistant Facilities Manager is responsible for managing integrated facilities management contracts and ensuring customer satisfaction through Mobile Team Management, Vendor Management, and CAFM Management. The role focuses on delivering high-quality services, optimizing costs, and enhancing profitability. The manager oversees preventive and corrective maintenance, generates revenue from repair and refurbishment works, maintains customer service standards, upholds quality and safety norms, and facilitates employee engagement. Effective communication and leadership skills are crucial for managing client relations, team performance, and operational objectives.
What You Will Do:
- Execute AMC efficiently within the budget and ensure profitability.
- Analyze and evaluate annual maintenance contract requirements, prepare HSE and operational risk assessments, and identify requirements for mobilization, transition, and performance management phases.
- Meet and report to clients regularly to maintain good communication and rapport.
- Track contract progress and ensure agreed SLAs and KPIs are met.
- Resource planning for assigned contracts, including manpower, materials, replacement spares, and subcontracted specialized services.
- Manage takeover and handover of the AMC.
- Prepare and submit monthly and annual reports for assigned contracts.
- Submit AMC invoices on time and obtain client acknowledgement.
- Conduct site inspections, conditional assessments of assets, and assess HSE and operational risks.
- Identify critical systems and assets and ensure contingency plans are in place to avoid downtime and disruption.
- Prepare contract-specific PPM procedures, schedules, and resource planning.
- Prepare method statements, risk assessments, and PPM task sheets.
- Tally and close all planned PPM work orders monthly.
- Execute corrective and reactive maintenance efficiently, achieving SLAs and KPIs.
- Handle escalations, emergencies, and resolve customer complaints with reports.
- Ensure CRM work orders are tracked, updated, and closed daily.
- Conduct daily site inspections to ensure quality of works and adherence to standards.
- Schedule, coordinate, and oversee maintenance contracts of subcontractors.
- Generate revenue from repair, replacement, refurbishment, or retrofit works and achieve targets.
- Make conditional assessments of assets and submit reports on necessary replacements based on aging and performance.
- Prepare cost estimates and proposals for repair and refurbishment, and follow up with clients for approvals.
- Execute casual jobs efficiently within budget and ensure profitability.
- Submit customer invoices on time and resolve any payment issues with clients.
- Contribute to the development of a customer-focused service and a positive corporate image.
- Achieve and enhance customer satisfaction by meeting and exceeding customer requirements, SLAs, and KPIs.
- Maintain regular communication and rapport with clients and their teams.
- Contribute to safe systems of work and the development of a quality management system.
- Ensure compliance with safety standards and that personal actions do not jeopardize the safety and well-being of others.
- Implement HSE policies, safe operating procedures, and safe work instructions to prevent incidents.
- Ensure possession of appropriate tools and tackles, spare parts, and consumables by the team.
- Ensure timely closeout of HSE action reports and NCRs.
- Ensure job description, induction training, and tool arrangement for reporting employees.
- Conduct performance development reviews and identify training requirements.
- Enhance employee engagement through identification and implementation of organizational and employee needs.
- Liaise with internal departments and shared services to maintain good relations.
- Promote team building to ensure effective coordination and productivity.
Required Skills To Be Successful:
- Ability to lead teams of supervisors and technicians with strong management skills.
- Proficient in maintenance of mechanical, electrical, plumbing systems and assets.
- Strong business acumen in procurement, finance, and administration.
- Excellent computer skills, particularly with CAFM systems.
What Qualifies You For The Role:
- Degree in Mechanical/Electrical Engineering.
- 8-10 years of experience in Facilities Management, specifically Integrated Facilities Management.
- 8 years of experience in KSA.
- National and International certifications such as FMP/CFM or equivalent.
- Knowledge of Health and Safety requirements.
- KSA Driving License.
- Proficiency in English and Arabic.
- Soft Service Knowledge and subcontractor management.
