Assistant III - Computerized Management Maintenance Systems

The Assistant III - Computerized Management Maintenance System role has a primary responsibility for supporting the CMMS Team. The Work Order Administrator will assist the CMMS Team in understanding the organization's needs from SchoolDude. Work Order Administrator will also take an initiative-taking role in supporting the departments to utilize the appropriate Maintenance Management Software in an efficient manner and provide support while understanding the department vision and needs.

Essential Functions
  • Provides technical and administrative leadership and oversight of school facilities.
  • Works with CMMS team to understand organization's needs from SchoolDude.
  • Works with CMMS team to identify department work order deficiencies.
  • Collaborates with different departments and supports each team with their unique needs.
  • Assists with work order tasks such as, but not limited to creating and updating emergency, contractor and outside inspection work orders based on schedules, emails, and calls.
  • Maintains an advanced technical knowledge of Baltimore City Public Schools application programs, such as MaintenanceDirect, InventoryDirect, PMDirect, Capital Forecast and Asset Essentials.
  • Supports the management of work orders in the system to ensure proper creation, planning, updating, and resolving of work orders.
  • Supports management in the reassignment of work orders and scheduling and assigning of work as needed.
  • Takes an initiative-taking role in supporting the department to utilize the appropriate Maintenance Management Software in an efficient manner and provide support while understanding the department vision and needs.
  • Supports with reviewing, monitoring, and keeping data clean within SchoolDude.
  • Utilizes tact and exercises good judgement in interacting with other departments and school personnel.
  • Provides software training to end users and new administrators; serves as liaison for system problems and escalations. Coaches and educates staff on the CMMS functions and best practices for performing tasks.
  • Participates and works in special projects with CMMS team and supports them as needed,

  • Aims to improve process and embraces teamwork with a positive mindset
  • Provides regular status updates to CMMS Manager or designee on project process.
  • Ability to work in fast paced, dynamic workplace with multiple priorities.
  • Strong ability to take ownership and responsibility to complete work with indirect & direct guidance balanced by an ability to escalate as appropriate.

Desired Qualifications
  • High school diploma or general education degree (GED) required. Associates Degree in Business Administration, Information Systems, Engineering, or related field preferred. Degree must be from an accredited college or institution.
  • Minimum of 1+ years of related experience.
  • Understanding of standard work process.
  • Previous experience with customer service.
  • Experience with facilities/maintenance activities and asset management preferred.
  • Advanced in the knowledge and use of technical computer applications such as Microsoft Office Suite.
  • Advanced skills in MS Excel.
  • Proven ability to handle numerous tasks and to effectively prioritize those tasks, with strong attention to detail and organizational capabilities.
  • Ability to quickly gain knowledge of relevant work order practices and processes.
  • Ability to quickly analyze problems, recommend and implement workable solutions.
  • Ability to work effectively with system users with varying skills, knowledge, and abilities.
  • Ability to ensure the delivery of elevated levels of customer service.
  • Advanced skills in the use of personal computers.
  • Good interpersonal, presentation, oral and written communication
  • Demonstrated ability to establish and maintain effective working relationships with consultants, contractors, and City Schools' personnel at all levels.

In accordance with Maryland law, City School is required to share the position salary ranges in its entirety. Please note, this is not the hiring range. The hiring range for this position is ($50,911 - $60,668).
