Job Overview
The Office Manager is responsible for overseeing the daily front office operations. This position requires someone who is highly organized, bilingual (English & Spanish - preferred), and comfortable in a fast-paced, noisy environment with frequent interruptions and multitasking. (the busy environment is periodic, primarily for several hours per day, when students are coming in and out of class). The ideal candidate is customer-focused, flexible under pressure, and able to balance administrative, financial and customer service responsibilities.

What you’ll do

  • Greet and assist parents, students, and visitors with professionalism and warmth
  • Provide exceptional customer service in both English and Spanish
  • Answer phones, take messages, and respond to inquiries
  • Sell studio merchandise, process payments, and delegate with assistants to track sales/inventory
  • Process tuition payments, run autopay, and manage account balances
  • Manage payroll and bookkeeping tasks to ensure accurate financial reporting
  • Maintain customer accounts and track aging balances
  • Generate weekly/monthly reports for management – future operations
  • Schedule private lessons and manage studio room availability
  • Maintain a clean and organized front desk and lobby area
  • Handle multiple tasks in a high-stress, high-traffic environment
  • Assist with light cleaning and studio upkeep as needed
  • Be available for weekend shifts during production/performance seasons

Qualifications

  • Associate’s degree required; Bachelor’s degree preferred
  • Bilingual in English and Spanish (preferred)
  • Previous experience in administration, customer service, or office management strongly preferred
  • Strong organizational and multitasking skills
  • Basic proficiency in Microsoft Office (Excel and Word), Google Docs and Sheets, payment systems, and office software (Studio Pro and QuickBooks)
  • Friendly, approachable, and professional demeanor
  • Must be flexible and able to adapt quickly to a fast-paced environment with children and families
