Assistant Manager - Fleet Operations

Job Purpose:

The Fleet Assistant Manager – Rental & Aggregator Operations is responsible for overseeing and coordinating day‑to‑day operational activities related to the rental fleet and aggregator platforms across Dubai and the Northern Emirates. The role ensures smooth execution of delivery and collection, vehicle quality and inspections, reservation and allocation control, damage assessment and recovery, driver behavior monitoring, and compliance with RTA and regional regulations. This position plays a critical role in maintaining operational efficiency, customer satisfaction, and overall fleet performance.

Roles and Responsibilities:

Delivery & Collection Operations

• Supervise and manage the daily delivery and collection of rental and aggregator vehicles across Dubai and the Northern Emirates.
• Ensure drivers follow proper customer handling protocols, inspection standards, and documentation requirements.
• Monitor delivery/collection turnaround time and take action to improve efficiency.
• Ensure all movement activities are properly logged in the system.

Vehicle Inspection & Quality Assurance

• Oversee pre‑delivery inspections (PDI) and post‑collection inspections to ensure all vehicles meet company quality standards.
• Verify the following before vehicle delivery:
• Cleanliness (interior/exterior)
• Tyre and battery condition
• Fuel level
• No mechanical or dashboard warning issues
• Reject non‑compliant vehicles and coordinate corrective actions with workshop teams.

Driver Performance & Behavior Monitoring

• Monitor driver behavior using GPS/IVMS and aggregator systems (e.g., speed, aggressive driving, idle time, misuse).
• Conduct regular driver briefings to reinforce safety and operational guidelines.
• Address violations, enforce disciplinary actions where necessary, and ensure consistent performance.

Reservations & Vehicle Allocation

• Manage reservation requests from rental operations and aggregator partners.
• Allocate fleet units based on category, availability, operational needs, and vehicle condition.
• Ensure vehicles are delivered on time and in full compliance with reservation requirements.
• Coordinate with internal teams for peak demand planning and fleet availability.

Damage Control & Recovery

• Supervise assessment and documentation of damages during delivery or collection.
• Maintain photographic evidence, inspection reports, and customer acknowledgment.
• Coordinate with the finance team and aggregator platforms for damage charges and recovery.
• Follow up on outstanding charges until full settlement is achieved.
• Maintain a damage tracker for charges, disputes, payments, and pending items.

Force Collection Management

• Lead force collection operations for overdue payments, blocked customers, and non‑responsive cases.
• Supervise driver teams assigned for force collections to ensure safety and legal compliance.
• Track success rates and escalate high‑risk cases.

Aggregator Panel & Platform Control

• Manage aggregator dashboards (e.g., Uber, Careem, Yango, etc.) including:
• Activations & deactivations
• Renewals & document uploads
• Rental extensions
• Dispute handling
• Monitoring online activity
• Analyze platform performance and vehicle utilization.
• Coordinate with aggregator account managers for operational issues and dispute resolutions.

Passing, Registration & Compliance

• Arrange vehicles for RTA and regional testing centers across Dubai and the Northern Emirates.
• Ensure vehicles remain compliant with insurance, registration validity, and RTA standards.
• Resolve inspection failures by coordinating workshop repairs.
• Maintain up‑to‑date compliance records for audits and operational reporting.

Operational Reporting & Administration

• Prepare daily/weekly/monthly reports on:
• Utilization
• Deliveries & collections
• Damages & recovery
• Aggregator operations
• Driver behavior
• Passing & compliance status
• Update all fleet logs, dashboards, and trackers to ensure accuracy.
• Support audits and management reviews with proper documentation.

Reservation Control

• Manage and monitor all rental and aggregator reservations to ensure smooth and timely vehicle allocation.
• Coordinate with sales, operations, and aggregator teams to confirm booking details, customer requirements, and delivery timelines.
• Ensure vehicles assigned for reservations are available, inspected, cleaned, serviced, and fully compliant before dispatch.
• Maintain an up‑to‑date reservation calendar, ensuring no overlaps, double-bookings, or allocation conflicts.
• Prioritize vehicle assignment based on fleet availability, vehicle category, mileage, condition, and operational needs.
• Ensure urgent or last‑minute reservation requests are handled efficiently and with minimal disruption.
• Monitor reservation modifications, extensions, cancellations, and system updates across all platforms.
• Address any operational gaps that may affect reservation fulfillment and take corrective action immediately.
• Provide regular reports on reservation volume, fulfillment rate, allocation efficiency, and availability challenges.

Education Qualification and Experience:

• 5–10 years of experience in fleet, rental, or aggregator operations in car rental industry (mandatory)..
• Local (UAE or GCC) experience is must; international exposure is a plus, especially in similar operational roles
• Experience working with ride‑hailing platforms and fleet management systems is an advantage.
• Strong knowledge of RTA regulations in Dubai and Northern Emirates
