Assistant Manager - Operations

Karachi, Pakistan

Duties & Responsibilities:

  • Lead the operational activities of The Hive facilities in Islamabad, ensuring smooth day-to-day functioning.
  • Oversee staffing, scheduling, and work distribution to ensure operational efficiency.
  • Implement standard operating procedures (SOPs) and ensure adherence to organizational policies.
  • Manage vendor relations, including negotiating contracts and ensuring compliance with service agreements.
  • Coordinate with external service providers to ensure timely and quality service delivery for facility operations.
  • Oversee the maintenance and servicing of generators to ensure uninterrupted power supply.
  • Manage fuel arrangements, including scheduling refueling, monitoring fuel levels, and ensuring availability during power outages.
  • Prepare and manage staff attendance and overtime records to ensure accurate payroll and compliance with labor laws.
  • Implement attendance monitoring systems and address any discrepancies.
  • Maintain check and balance of inventory levels for operational supplies and equipment.
  • Conduct regular audits to ensure inventory accuracy and prevent stock shortages.
  • Prepare and submit monthly demand forecasts to ensure the timely replenishment of supplies.
  • Prepare and manage the operational budget for the city, ensuring cost control and maximization of resources.
  • Monitor expenses and implement cost-saving measures without compromising on service quality.
  • Lead, mentor, and motivate the operations team, ensuring high levels of performance and accountability.
  • Conduct regular performance reviews, providing feedback and opportunities for professional development.
  • Collaborate with design and management teams to contribute insights into product design and customer experience improvements.
  • Assist in planning and executing the expansion of existing facilities or the development of new locations.
  • Oversee the maintenance, repair, and upkeep of facilities, ensuring they meet safety standards and customer expectations.
  • Coordinate with facility managers and external contractors for any structural or technical upgrades.
  • Ensure all operational activities comply with local regulations, safety standards, and organizational protocols.
  • Perform routine and preventive maintenance of air conditioning (AC) systems, including inspection, cleaning, troubleshooting, and repair to ensure optimal performance and energy efficiency.
  • Implement health and safety guidelines and conduct regular audits to maintain compliance.
  • Prepare and present operational reports to senior management, outlining performance metrics and areas for improvement.
  • Act as the liaison between city operations and the corporate headquarters, ensuring consistent communication and alignment of goals.

Requirements:

  • Bachelor's degree in operations management or related field.
  • Experience in management, operations, and leadership.
  • Understanding of general finance and budgeting, including profit and loss, balance sheet, and cash-flow management.
  • Experience of handling handling atleast 15k sqft facility minimum.
