Assistant Office Manager

Job Overview
We are seeking a dynamic and highly organized Assistant Office Manager to join our team! This vital role supports our Oxi Fresh, Mosquito Squad and Merry Maids operations. The position is salaried, $29,120-$37,440, based on experience. Hours of operation are Mon-Fri 8AM -5PM and occasional Saturdays 8AM - 1PM. This position offers an exciting opportunity to support daily office operations, enhance efficiency, and ensure a smooth workflow across departments. Responsibilities

  • Handle incoming calls with excellent phone etiquette, directing inquiries to appropriate departments or personnel
  • Following up on new customer leads
  • Manage calendar scheduling, appointment setting, and coordinate meetings efficiently using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and maintain accurate records using office management software and digital filing systems
  • Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries to ensure financial accuracy
  • Assist with clerical duties including proofreading documents, preparing correspondence, and managing office supplies inventory
  • Provide exceptional customer service by supporting clients’ needs both in person and over the phone while maintaining a positive attitude

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Experience with data entry, filing systems, and basic bookkeeping using QuickBooks or similar software
  • Excellent communication skills in both English
  • Familiarity with multi-line phone systems, phone etiquette, and front desk operations
  • Strong computer literacy including typing speed and accuracy; ability to proofread documents effectively
  • Prior administrative or clerical experience in a professional setting; customer service, sales background preferred
  • Ability to manage multiple tasks efficiently with effective time management skills
