Job Title: Assistant Property Manager – MR/HR Team

Reports to: Senior Property Manager or Property Manager

Overview:

The Assistant Property Manager plays a crucial role in maintaining and enhancing the value of our clients’ real estate investments. Working across multiple residential properties, this position supports the day-to-day operations, tenant relations, financial administration, and property upkeep to ensure an exceptional living experience for residents and strong performance for property owners.

You’ll work alongside a Property Manager, assisting with everything from lease administration to maintenance coordination and financial reporting. This is a great opportunity for anyone looking to advance in property management!

Primary Responsibilities:

Tenant Relations

  • Assist with tenant move-ins, move-outs, and lease renewals to ensure smooth transitions.
  • Enforce lease agreements, address tenant concerns, and mediate disputes when necessary.
  • Provide professional, attentive customer services to ensure a positive resident experience.
  • Maintain strong communication with tenants regarding repairs, capital improvements, and property updates.
  • Oversee eviction proceedings when necessary.

Facilities & Maintenance

  • Conduct regular property inspections to ensure cleanliness, safety, and compliance.
  • Work with the maintenance team and vendors to schedule repairs and handle emergency maintenance.
  • Assist in obtaining and evaluating contractor bids for larger projects.
  • Issue and replace keys using a key-cutting machine.
  • Ensure utility accounts and vendor agreements are correctly management and organized.
  • Help coordinate annual and special maintenance projects.

Financial & Administrative Support

  • Assist with rent collection and track outstanding balances.
  • Pull and organize financial reports for the Property Manager or Senior Property Manager.
  • Handle utility vendor approvals and invoice discrepancies.
  • Stay up to date on property management laws and regulations to ensure compliance.
  • Participate in team meetings and collaborate with leasing agents, coordinators, and property managers.
  • Submit funding requests and liaise with banks or owners to expedite funds.

Collaboration & Professional Development

  • Connect with leasing agents and other team members to improve efficiency.
  • Attend company meetings and engage in ongoing training and development.

Qualifications:

  • Bachelor’s degree in Business Administration, Finance, real estate, or construction management (preferred).
  • Experience in property management, real estate, leasing, or a related field is a plus.
  • Excellent communication, conflict resolution, and customer service skills.
  • Ability to multi-task, stay organized, and work independently in a fast-paced environment.
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook) and a willingness to learn Yardi.
  • Basic knowledge of building maintenance and property management operations is helpful.
  • Must have a valid driver’s license and access to a car (30% travel within Chicago)

Availability and Work Hours:

  • Standard business hours with occasional availability for after-hours emergencies.
  • Ability to check emails and respond to urgent matters on weekends if necessary.

Physical Requirements:

  • Requires the ability to move within difficult conditions and different areas of properties; stand, sit, walk up/down stairs at times, etc.
  • Occasional lifting of up to 50lbs for maintenance-related tasks.
  • Ability to use a key-cutting machine.
  • Must have a car with valid driver’s license.
  • 30% travel, property-to-property, within Chicagoland.
