Assistant Purchase Executive

Job Purpose

The Assistant Purchase Executive will support the procurement function by handling day-to-day purchasing activities for both local and international markets. The role involves vendor coordination, price negotiations, order processing, and ensuring timely delivery of materials and supplies in line with company standards, quality, and cost objectives.

Key Responsibilities

Purchasing & Procurement

  • Assist in managing end-to-end procurement processes for both local and overseas suppliers.
  • Identify, evaluate, and negotiate with vendors to secure the best prices, quality, and delivery terms.
  • Prepare purchase orders and follow up with suppliers to ensure timely delivery.
  • Maintain accurate records of purchase transactions, contracts, and price agreements.
  • Support in developing alternate vendor sources to ensure business continuity.

International Procurement

  • Coordinate with overseas suppliers for import requirements, documentation, and compliance.
  • Liaise with freight forwarders, clearing agents, and customs to ensure smooth import processes.
  • Monitor international shipments and handle any issues related to delays, discrepancies, or damages.
  • Keep updated with international trade regulations, customs requirements, and currency fluctuations.

Local Procurement

  • Source raw materials, consumables, and services from local suppliers.
  • Build and maintain strong relationships with local vendors for cost-effective and reliable supply.
  • Conduct regular market surveys to ensure competitive pricing and availability.

Coordination & Support

  • Work closely with the accounts department for supplier payments and reconciliation.
  • Assist in maintaining proper inventory levels by coordinating with the warehouse and production teams.
  • Prepare procurement reports, cost analysis, and vendor performance evaluations.
  • Ensure adherence to company policies and compliance with procurement guidelines.

Qualifications & Experience

  • Bachelor’s degree in Supply Chain Management, Business Administration, or related field.
  • 2–4 years of experience in purchasing/procurement, with exposure to both local and international sourcing.
  • Knowledge of import/export procedures, customs clearance, and logistics documentation.
  • Strong negotiation, communication, and vendor management skills.
  • Proficiency in MS Office and ERP systems (SAP / Oracle / Microsoft Dynamics preferred).
  • Fluency in English required; knowledge of Arabic or other languages is an advantage.

Job Types: Full-time, Permanent

Pay: AED2,000.00 - AED3,000.00 per month
