ASSISTANT SUPERVISOR OF ORDERING

Purpose of Job

The purpose of this position is to order, receive, and prepare library materials for the adult, teen, and juvenile collections for eighteen Knox County Public Library locations.

Essential Functions

• Create and place orders on daily basis


• Place electronic orders through the MUNIS online requisition system for items not readily available for procurement card purchase


• Reconcile materials received against invoices


• Identify and resolve discrepancies or other problems in orders received


• Assist Supervisor of Ordering with reconciliation of procurement card purchases and reconcile procurement card purchases in the absence of the Supervisor


• Sort and process outgoing and incoming mail and track by entering data into spreadsheet


• Prepare new books for cataloging and maintain Order Division files

Additional Job Functions

• Ensure regular, punctual attendance during scheduled work hours


• Respond to and report immediately if called upon by local regional or central office supervisors as part of a coordinated emergency response by the Knox County Health Department


• Perform other duties as required

Minimum Training & Qualifications

• Minimum of two years’ post-secondary education


• Minimum of two years’ experience working in a public library environment, preferable in area of purchasing


• Successful completion of annual Procurement Card class

Specialized Knowledge

• Knowledge of procurement card rules and regulations

Competencies

• Ability to use Microsoft Word to process return of defective books and for general correspondence


• Ability to use Microsoft Excel to log incoming mail, track standing orders, subscriptions, and online databases


• Ability to use Microsoft Access for internal recordkeeping of credit card orders and reports


• Excellent customer service skills

Physical Requirements

This position requires the following physical abilities:

• Push and pull carts and hand-trucks loaded with up to 70 pounds of books


• Lift and move boxes of books weighing up to 50 pounds from tables and flats


• Sort books weighing up to seven pounds

Occupational Hazards

• Risk of cuts while using box cutter


• Potential for back strain or similar injury while lifting and sorting boxes of orders and repeatedly turning and twisting body

Monday – Friday: 7:30 am – 4:00 pm
