Duties and Responsibilities:
    • Work under the direction of the Department Chair and Associate Chair to manage and maintain the Art Buildings, Galleries, Museums (ART Facilities) and equipment.
    • Responsibility for identification and timely resolution of repair and maintenance to the ART Facilities and equipment.
    • Prepare specifications and purchasing documents to either maintain or correct deficiencies to assure that the ART Facilities and/or equipment are in safe and optimal working condition.
    • Collaborate with the Department Chair to develop and submit proposals for capital improvements, renovations, and minor repairs to the ART Facilities.
    • Oversee ART Facilities maintenance schedules and collaborate with service providers to ensure repairs do not conflict with scheduled classes, research activities, or special events.
    • Manage and schedule space/room/office/lockers assignments and distribution and tracking of keys and alarm codes in consultation with the department chair.
    • Manage ART Facilities operations and proactively address and resolve facilities related problems, ensuring optimal operational functionality and safety.
    • Serves as the primary point of contact and designated problem-solver for allART Facilities issues; ensures full preparation for critical events, including severe weather and university public relations functions.
    • Communicates departmental needs for event resources, including ART Facilities access and A/V and furniture setup (microphones, speakers, tables) to ensure successful execution of lectures and events.
    • Coordinate and act as the main point of contact for departmental events, including the annual awards ceremony.
    • Responsible for communication with departmental staff and the university regarding ART Facilities access and use requirements.
    • Serve as the primary emergency responder and point of contact for the ART Facilities during non-business hours, including weekends and holidays. Responsibilities include managing alarm triggers, coordinating emergency repairs, and addressing urgent facility issues as they arise.
    • Manage ART Facilities and access for after-hour users.
    • Responsible for providing technical assistance for audio-visual presentations within the ART Facilities.
    • Work with University of Hawaii at Manoa, Environmental Health & Safety Office (EHSO) to identify and evaluate workplace hazards to comply with Occupational Safety and Health Administration (OSHA) standards.
    • Supervise staff responsible for securing the ART Facilities at night and monitoring student activities in the facilities after hours.
  • Responsible for planning, creating and disseminating all advertising and promotional materials to communicate departmental programming and events to university personnel and the general public.
  • Coordinates the production and dissemination of recruitment and promotional materials in collaboration with departmental leadership to enhance outreach to prospective students and increase program visibility.
    • Collaborate with departmental and university-wide units on cross-functional initiatives, providing specialized expertise and professional support to complete assigned tasks and advance institutional goals.
    • Works flexible hours including evenings, weekends, and/or holidays, and/or off-site locations.

Minimum Qualifications:
  • Possession of a baccalaureate degree in Business Administration, Arts and Sciences or related field and 3 years of progressively responsible professional experience with responsibilities for facilities management, experience in the trades, or project management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  • Considerable working knowledge of principles, practices and techniques in the area of facilities management, experience in the trades, or project management as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
  • Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with facilities management, experience in the trades, or project management.
  • Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
  • Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
  • Demonstrated ability to operate a personal computer, apply word processing software.
  • If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
  • Demonstrated ability to work collaboratively with others.
  • Demonstrated ability to be organized, detail oriented, and effectively manage multiple projects often under pressure and shifting priorities.
  • Demonstrated ability to take initiative and work independently to manage assigned projects and deliverables.

Desirable Qualifications:
  • Possession of a Master’s degree in Studio Art, Art History, Design, or related field.
  • Experience and familiarity with a variety of art facilities.
  • Demonstrated skills/knowledge in the trades such as plumbing, electrical, carpentry, woodworking, or metalworking etc.
  • Proficiency with photographic and video techniques including image editing.
  • Experience with the following: wood shop, metal shop, foundry, furnaces for ceramics and glass, papermaking, fibers, photographic, or printmaking.
  • Proficiency with technical and digital resources such as wide-format printers or video editing stations.
  • Experience with graphic arts including printing and production processes, art book design, InDesign, exhibition typography, and other layout programs.
  • Demonstrated ability to read and interpret a blue print.
  • Proficiency in Microsoft Office Suite, Adobe Creative Cloud, Dropbox, AutoCad, Rhino, Sketchup or other CAD software, and the ability to learn new computer applications.
