Benefits Administrator

General Description:
The Benefits Administrator is responsible for providing support to the employees, the HR Department, and our vendors in the pursuit of effective benefits administration. This role will take the lead in employee leave management, maintain a thorough understanding of benefits classes, legislated eligibility changes, and employment status changes. This individual will be expected to have a master-level understanding of MVLA’s current benefit plans and become an expert in interpreting our Employee Handbook. Additionally, will meet with employees on eligibility and employee status changes, and as needed, participate in onboarding new employees, specifically regarding the delivery of benefit information for full-time, benefit-eligible employees. The benefits administrator will work with Department managers and employees on specific benefits topics and may gather appropriate information to recommend actions to the Director of Human Resources.

Essential Duties:
Benefits Administration:
- Provide excellent customer service to each employee who seeks support
- Build strong relationships with all benefits vendors
- Execute employee benefits orientations for newly eligible employees and new hires as needed.
- Monitor benefits eligibility by running regular hours reports, following all protocols and compliance with the Affordable Care Act, and take action on enrollments and terminations, including monitoring COBRA communications
- Produce and facilitate required benefits mailings
- Ensure that employee files are maintained properly, particularly those specific to PHI
- Plan annual Open Enrollment and health and wellness activities and communications in cooperation with Mount Vernon’s broker to include HRIS components.
- Take the lead in updating and monitoring the HRIS, website, and Intranet systems specific to reporting employee benefits information and employee functions.
- Updating and disseminating the benefits guides annually prior to OE
- Work with vendors, providers, and professionals to solve benefits and employment-related challenges
- Assist the HR Assistant in ensuring that Employment Law posters in break rooms and other locations around the Estate are up to date and in good condition
Employee Relations:
- Provide excellent, timely, and confidential customer service to each employee who seeks support
- Build strong relationships with MVLA supervisors, managers, and Department heads
- Build and maintain strong relations with retirement and benefits brokers and various vendors
Leave Management:
- Monitor and execute Leave plans, including PTO, STD, LTD, Worker’s Compensation, and LWOP.
- Build strong relationships with Leave program administrators, including in in-house Payroll Manager; ensure effective communication, reporting, and delivery of benefits entitlements
- Ensure that all required forms are completed and approved timely; ensure that FMLA documents are current and that best practices are used.
- Maintain excellent records in HRIS and/or other tracking files/tools.
Compliance:
- Prepare 5500 in coordination with the third-party service provider.
- Employment Eligibility (I-9) records management, including paper files and usage of E-Verify.
- Assist with running regular PPACA-related reports, such as hours-worked look-back reports, and prepare action plans accordingly.
- Maintain up-to-date physical personnel files.
- Provide confidential, timely customer service to each employee who seeks support.
- Reconcile, code, and process invoices timely
Other duties as assigned.
Qualifications and Education Requirements:
- Undergraduate degree required
- Previous benefits administration and human resources experience required
- Ability to build strong relationships internally
Additional Notes:
While HR staff may have specific areas of focus, it is understood that the HR team is a small but very collaborative Department. In the absence of a staff member, other HR team members will provide support as needed and there are several “all hands” projects and/or events that occur annually.
