Bid Coordinator

Job Summary

We are seeking a detail-oriented and proactive Bid Coordinator to manage and coordinate the end-to-end bid and tender process. The role involves preparing, reviewing, and submitting bids/RFPs/RFQs while ensuring compliance with client requirements, timelines, and internal approvals.

Key Responsibilities

  • Identify, track, and manage bid/tender opportunities from various portals and sources
  • Coordinate with internal teams (Sales, Technical, Finance, Legal, HR) to gather required inputs
  • Prepare, format, and compile bid documents, proposals, and supporting annexures
  • Ensure all submissions comply with tender requirements, eligibility criteria, and deadlines
  • Maintain bid calendars, trackers, and documentation records
  • Review bid documents for accuracy, completeness, and consistency
  • Handle pre-bid queries, clarifications, and amendments
  • Support post-submission activities, including follow-ups and negotiations
  • Maintain a repository of standard templates, credentials, and past bids
  • Assist in improving bid processes and documentation quality

Required Skills & Competencies

  • Strong written and verbal communication skills
  • Excellent coordination and stakeholder management abilities
  • High attention to detail and strong organizational skills
  • Ability to work under tight deadlines and manage multiple bids simultaneously
  • Proficiency in MS Office (Word, Excel, PowerPoint)
  • Familiarity with tender portals (GeM, e-procurement portals, etc.) is an advantage

Qualifications

  • Bachelor’s degree in Business Administration, Marketing, Engineering, or a related field
  • 1–3 years of experience in bid coordination, proposal management, or tender handling
  • Experience in handling government/private tenders is preferred

Preferred Attributes

  • Basic understanding of contracts and commercial terms
  • Experience in industries such as IT, Advertising, Infrastructure, or Services (as applicable)
  • Team player with a proactive and solution-oriented mindset

Job Types: Full-time, Permanent

Pay: ₹12,000.00 - ₹20,000.00 per month
