Bid Coordinator/Adminstrator

WSP India (Middle East GCC) is seeking an experienced professional to join our Earth & Environment team as a Bid Coordinator, leading and supporting bid processes for design, construction and infrastructure projects across diverse sectors.

The Bid Coordinator will play a pivotal role in the Environment & Sustainability team by overseeing the preparation, coordination, and submission of bids and proposals. This position demands exceptional organizational skills, keen attention to detail, and the ability to collaborate effectively with technical experts, project managers, and business development teams. The successful candidate will ensure the delivery of high-quality submissions that reflect WSP’s commitment to sustainability and align with the company’s long-term vision.

You will be joining a well-respected, large and dynamic team with a wide range of clients across different markets and sectors including national and local government, industrial, commercial and scientific sectors.

Successful candidate must have:

• Be an integral part of WSP’s Strategic Bids Team, supporting WSP’s operational businesses to deliver growth through winning new, sustainable work.

• Coordinate the end-to-end bid process, including planning, drafting, reviewing, and submitting proposals. Develop our written offer from initial content planning, through drafting and quality reviews to final production and submission. Typically, this includes authoring, developing, reviewing new and tailoring existing solutions.
• Support bid planning, management, review, governance and feedback processes as required.
• Develop bid timelines, track deliverables, and ensure deadlines are met.
• Maintain a bid library with reusable content, templates, and case studies.
• Work with subject matter experts in environment and sustainability to gather technical inputs.
• Liaise with internal stakeholders (technical, finance, legal, marketing) to compile bid documents.
• Ensure bids comply with client specifications, tender requirements, and organizational standards.
• Conduct quality checks for consistency, formatting, and branding.

• Monitor upcoming tenders, RFPs, and opportunities in the environment and sustainability sector.

Requirements:

• Bachelor’s degree in Business Administration, or related field.

• Preferred experience of producing tenders in the Middle East markets that WSP operates in including Transport & Infrastructure, Earth & Environment, Property and Buildings, Power & Energy.
• 3-6 years of experience in bid coordination, proposal writing, or business development (preferably in consulting).
• Excellent long form content development, writing, editing and proofreading skills.
• Excellent organizational and project management abilities.
• Familiarity with sustainability frameworks (e.g., ESG, SDGs, ISO 14001) is an advantage.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint) and document management tools.
• Ability to work under pressure and manage multiple deadlines.
• Experience of working on multiple prospects, simultaneously.
• knowledge of graphics and being well versed with PPT tools is a plus.
