Key Responsibilities
● Schedule and coordinate inbound freight appointments with carriers, vendors,
and internal warehouse teams
● Maintain accurate appointment schedules and ensure all inbound deliveries are
properly documented
● Complete driver check-ins and verify trailer numbers upon arrival
● Monitor scheduled appointments throughout the day to help ensure on-time
arrivals
● Follow up on late, delayed, missed, or unscheduled deliveries and communicate
updates promptly
● Coordinate with warehouse personnel regarding dock availability, unloading
schedules, and daily inbound capacity
● Maintain communication with carriers regarding appointment times, delivery
changes, delays, and other scheduling needs
● Review inbound paperwork and confirm that required documentation is complete
and accurate
● Track inbound shipments, trailer information, piece counts, and other operational
details
● Assist with resolving scheduling conflicts, dock concerns, damaged freight, and
delivery discrepancies
● Document issues and communicate relevant information to management and
appropriate team members
● Maintain organized scheduling records, spreadsheets, and operational reports
● Support invoice processing and other administrative tasks related to inbound
freight operations
● Help identify opportunities to improve scheduling efficiency, communication, and
overall inbound workflow
● Perform additional logistics and administrative duties as needed
Qualifications
● Previous experience in freight scheduling, logistics, transportation, dispatch,
warehouse operations, or a related field is preferred but not required
● Strong organizational skills and attention to detail
● Ability to manage multiple appointments, deadlines, and priorities in a fast-paced
environment
● Strong written and verbal communication skills
● Comfortable communicating with drivers, carriers, vendors, warehouse
personnel, and management
● Proficient with Microsoft Office, Google Workspace, spreadsheets, email, and
scheduling systems
● Ability to identify issues, communicate them clearly, and follow through until they
are addressed
● Dependable, proactive, and able to work independently while collaborating with a
team
● Strong problem-solving and time-management skills
● Experience with transportation management systems, warehouse systems, or
freight-related software is a plus
Preferred Skills
● Experience coordinating freight appointments or working directly with carriers
● Knowledge of inbound warehouse operations and dock scheduling
● Familiarity with freight documentation, invoices, bills of lading, and shipment
tracking
● Experience maintaining operational spreadsheets and reports
● Ability to remain organized and professional when handling changing schedules
or unexpected delays
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
