Bilingual Office Assistant (English/Spanish)

About Us
HS Custom Designs Inc. (RetractableRoof.com) is a New York-based manufacturer and installer of premium retractable roof systems and glass enclosures for restaurants, hotels, and high-end commercial projects.

Responsibilities

  • Answer phone calls, emails, and follow-ups with clients/vendors
  • Prepare proposals, invoices, purchase orders, and basic documents
  • Schedule appointments, site visits, deliveries, and internal calendars
  • Maintain project folders (Google Drive/Dropbox), organize drawings, photos, and correspondence
  • Support the owner with day-to-day office operations
  • Coordinate with engineers, installers, and suppliers to keep projects moving
  • Track payments, receipts, and basic bookkeeping support (QuickBooks a plus)

Requirements

  • Strong English writing & communication
  • Very organized, detail-oriented, and reliable
  • Proficient with Google Workspace / Microsoft Office (Docs, Sheets, Email)
  • Comfortable following up and keeping tasks on track
  • Construction/manufacturing office experience is a plus

Nice to Have

  • QuickBooks, CRM experience, permit/COI paperwork familiarity
  • Experience in construction admin / project coordination
