HS Custom Designs Inc. (RetractableRoof.com) is a New York-based manufacturer and installer of premium retractable roof systems and glass enclosures for restaurants, hotels, and high-end commercial projects.
Responsibilities
- Answer phone calls, emails, and follow-ups with clients/vendors
- Prepare proposals, invoices, purchase orders, and basic documents
- Schedule appointments, site visits, deliveries, and internal calendars
- Maintain project folders (Google Drive/Dropbox), organize drawings, photos, and correspondence
- Support the owner with day-to-day office operations
- Coordinate with engineers, installers, and suppliers to keep projects moving
- Track payments, receipts, and basic bookkeeping support (QuickBooks a plus)
Requirements
- Strong English writing & communication
- Very organized, detail-oriented, and reliable
- Proficient with Google Workspace / Microsoft Office (Docs, Sheets, Email)
- Comfortable following up and keeping tasks on track
- Construction/manufacturing office experience is a plus
Nice to Have
- QuickBooks, CRM experience, permit/COI paperwork familiarity
- Experience in construction admin / project coordination
