Job Description – Billing Executive (Modern Trade, E-Commerce & Quick Commerce)

Reports To: Sales Admin Manager / Finance Controller
Role Overview
We are looking for a detail-oriented and proactive Billing Executive to manage invoicing, order processing, and reconciliation for Modern Trade, E-Commerce, and Quick Commerce channels. This role is critical to ensuring smooth order-to-cash operations with accuracy, compliance, and speed. The Billing Executive will act as the link between the Sales team, Finance team, and Channel Partners (Blinkit, Zepto, BigBasket, Reliance, D-Mart, etc.), ensuring correct billing and documentation at all times.
Key ResponsibilitiesBilling & Invoicing
- Prepare and process invoices for Modern Trade, E-Commerce, and Quick Commerce customers.
- Ensure timely, accurate generation of sales invoices in line with channel-specific requirements.
- Apply correct GST rates, discounts, schemes, and promotional claims.
- Coordinate with logistics/warehouses for dispatch details and generate relevant e-way bills.
Order Processing & Coordination
- Validate purchase orders received from channel partners before processing.
- Liaise with Sales, Warehouse, and Logistics teams for stock availability and timely dispatch.
- Ensure proper mapping of SKUs, product codes, and barcodes as per partner portals.
Reconciliation & Compliance
- Maintain billing records and reconcile invoices with channel debit/credit notes.
- Track receivables and support the Accounts Receivable team in follow-ups.
- Handle TDS/TCS deductions, short payments, and claims raised by partners.
- Ensure compliance with GST, Company policies, and statutory requirements.
Reporting & Documentation
- Maintain daily/weekly billing trackers for each channel.
- Share MIS reports on billing status, pending claims, and reconciliations.
- Provide support during audits by ensuring proper documentation of invoices and credit/debit notes.
Key Skills & Competencies
- Strong knowledge of billing processes, GST, TDS/TCS, and credit note handling.
- Familiarity with Modern Trade and E-Com partner portals (e.g., Blinkit, Zepto, BigBasket, etc.).
- Hands-on experience in ERP/Tally/Odoo (exposure to Odoo will be an advantage).
- Good MS Excel skills (VLOOKUP, Pivot Tables, basic formulas).
- High attention to detail, accuracy, and ability to meet deadlines.
- Strong coordination and communication skills to interact with multiple internal and external stakeholders.
Qualifications & Experience
- Bachelor’s degree in Commerce/Accounting/Finance (B.Com or equivalent).
- 2–4 years of experience in billing, sales admin, or accounts receivable, preferably in FMCG / Consumer Goods.
- Prior experience with Modern Trade / E-Commerce billing is a strong plus.

Pay: ₹15,000.00 - ₹20,000.00 per month
