Job Summary
We are seeking a detail-oriented and proactive Bookkeeper / Administrative Assistant to support our financial and administrative operations. The ideal candidate will possess strong accounting skills, proficiency with various financial software, and excellent organizational abilities. This role involves managing bookkeeping tasks, maintaining accurate financial records, and providing essential administrative support to ensure smooth office functioning. The successful candidate will be a reliable team player committed to accuracy, efficiency, and confidentiality. Experience in construction and/or trades is required.
Duties May Include
- Manage day-to-day bookkeeping activities including accounts payable, accounts receivable, and bank reconciliations using software such as QuickBooks, Xero, Sage, or Quicken.
- Prepare and record journal entries in accordance with GAAP (Generally Accepted Accounting Principles) standards and ensure general ledger accuracy through regular account reconciliation.
- Conduct balance sheet reconciliation and general ledger accounting to maintain precise financial records.
- Assist with payroll processing, tax filings, and compliance requirements for both corporate and non-profit organizations.
- Generate detailed financial reports, including budgeting analysis and account analysis to support management decision-making.
- Maintain organized documentation of financial transactions, supporting audit processes and internal controls.
- Provide administrative support such as managing correspondence, scheduling appointments, and maintaining office supplies to foster an efficient work environment.
- Collaborate with external accountants or auditors during financial reviews or audits to ensure transparency and compliance.
Experience
- Proven experience in bookkeeping or accounting roles with familiarity in corporate accounting, governmental accounting, or non-profit accounting environments.
- Strong proficiency with accounting software such as QuickBooks, Xero, Sage, or similar platforms; experience with financial software integration is a plus.
- Knowledge of GAAP standards, double entry bookkeeping, debits & credits, journal entries, and account reconciliation processes.
- Experience handling accounts payable and receivable along with bank reconciliation procedures.
- Familiarity with payroll processing, tax experience related to financial reporting requirements, and governmental compliance is desirable.
- Ability to perform 10 key typing accurately for data entry tasks; excellent attention to detail is essential.
- Understanding of budgeting principles and technical accounting concepts necessary for accurate financial report writing and analysis.
