QuickBooks & Hotel Operations Support three Hotels
We are seeking a dependable and detail-oriented professional to assist with hotel accounting, administrative, and operational support. The ideal candidate will have strong experience in QuickBooks, Reconcile Audit reports, Credit cards batches from hotel PMS systems, and customer services to respond to Guest review and Guest complaints.
Key Responsibilities:
- Guest Reviews & Complaint Responses: Monitor and respond professionally to guest feedback across Medallia, Google, and OTA platforms.
- RFPs & Sales Leads Management: Track and organize incoming group and corporate leads, prepare rate proposals, and coordinate with property managers.
- Daily Audit Reconciliations: Review night audit reports for accuracy in room revenue, taxes, and payment postings.
- Company Credit Card Review: Match receipts and reconcile company credit card statements monthly.
- Reconciliations:
- PMS batch vs. Merchant Services vs. Bank Statements
- Direct billing accounts and CLC transactions
- Ordering & Inventory: Order and track breakfast supplies, guest amenities, and laundry chemicals to ensure par levels and cost control.
- Daily Staff Hour: Prepare and maintain weekly staff schedules, track attendance, and verify total daily hours.
- Housekeeping Tracking: Record daily housekeeping hours and rooms cleaned per employee for labor productivity analysis.
- Vendor Invoice Processing: Verify, code, and prepare vendor invoices for approval and payment.
- QuickBooks Management:
- Record daily income and expenses
- Reconcile accounts and verify deposits
- Maintain accurate ledgers and prepare monthly summaries
- Posting Adjustments: Post accounting or PMS corrections with detailed explanations and documentation.
- Chargeback Management: Research disputes, compile evidence, and respond promptly through merchant portals.
Qualifications:
- Proficiency in QuickBooks Online/Desktop required.
- Experience with PMS systems such as Choice Advantage, Opera, or HotelKey preferred.
- Strong Excel, organization, and reporting skills.
- Excellent written and verbal communication abilities.
- Ability to manage time efficiently between remote and on-site work as required.
