Bookkeeper & Data Controller (India-to-US)

Role Overview

Panache Designs is seeking a meticulous Senior Bookkeeper to manage the financial bridge between our Indian procurement and our US-based sales. Currently, our QuickBooks Online (QBO) integrates directly with our US bank accounts; your role is to manage the "other half" of the data: Indian vendor payments, inventory procurement costs in INR, and e-commerce reconciliation. You will ensure the books are closed accurately every month for our US CPA’s review.

Key Responsibilities

1. Data Integration & Accuracy

• Manual Journal Entries: Record all Indian cash outflows and procurement costs (INR) that do not flow through the US bank feed.

• Closing the Books: Perform month-end closing procedures, ensuring all assets, liabilities, and expenses are categorized correctly for US tax standards.

• Audit Readiness: Maintain a clean digital trail of receipts and invoices from Indian designers/vendors within QBO.

2. Inventory & Landed Cost Tracking

• Procurement-to-Sales Bridge: Sync data between BridalLive (Inventory/POS) and QuickBooks to ensure inventory valuations are accurate.

• Cost Analysis: Calculate the landed cost of goods (Product + Shipping + Duties) so our profit margins are transparent.

3. Revenue Reconciliation

• E-Commerce Auditing: Reconcile gross sales from Shopify, Square, and Social Media against the net deposits appearing in the US bank feed.

• Fee Management: Account for merchant fees and shipping costs to ensure the "Cost of Goods Sold" is accurately reflected.

Technical Requirements

• QuickBooks Online Expert: You must be highly proficient in manual journals, bank rules, and multi-currency reconciliation.

• Tech Stack: Experience with BridalLive, Shopify, and Square is essential.

• Data Management: Advanced Google Sheets skills for tracking procurement data before it is entered into QBO.

• Communication: Ability to provide clear, "CPA-ready" financial reports at the end of each month.

You must be comfortable managing books where the bank feed is NOT the only source of truth. You will be responsible for manually importing Indian expenditure data and reconciling it against US-based revenue to provide our US CPA with a 100% complete financial picture.

Candidate Profile

• 4+ years of experience in bookkeeping for international retail or export businesses.

• Strong understanding of how data flows between different software platforms (APIs vs. manual uploads).

• Highly organized and capable of working independently to meet monthly closing deadlines.
