Bookkeeper - Part Time
Want to help support the growth of athletics at the grassroots as we build towards the LA Olympics in 2028? USA Track & Field New England, a non-profit organization, is one of the largest local associations in the country under the USATF umbrella. We serve the track and field, road racing, mountain,ultra and trail racing, and the cross country communities from youth to masters.
The bookkeeper will assist the managing director and Board of Governors in ensuring timely and accurate accounting of our current business. Clear and consistent reporting supports the board’s resourcing decisions to best support the members and the sport.
The reporting cadence is monthly and transactional support is weekly. The weekly work is driven by the competitive events, if any, of the week.
Responsibilities include:
Monthly Membership, Event, and Sanction Reconciliation :
Reconcile and enter into QuickBooks program revenue
Audit Membership System Reports with receivables
Ensure proper assignment of revenue and expenses
Report monthly cash flows to the treasurer and board
Accounts Payable:
Maintain process for payable submissions and reporting
Enable timely payment of contractors and officials
Maintain submission to payroll provider
Review expense submissions from managing director and sports chair
Maintain expenses in QuickBooks
Ensure proper assignment of expenses
Accounts Receivable:
Reconcile event, membership, and sanction deposits
Ensure proper assignment of revenue sources
Track rights fees
Reconcile periodic merchandise sales
Event Budget Support
Establish budget entries in Quickbooks
Report on budget vs actuals vs historicals
Maintain Google Drive folders with back up invoices and reports for each sport’s budget
Annual Accounting and Monthly Report
Support the treasurer’s preparation for tax filings
Support the treasurer’s preparation of a monthly report for board meeting regarding membership, sanctions, events, and cash flow.
General
Ensure accounts are up-to-date and accurate
Prompt reporting to the President and Managing director of any accounting issues
Communicate to the customer when issues arise with the payment.
Use proper accounting practices
Prompt pay discounts are taken appropriately
Ensure sales tax laws are followed and our non-profit status recognized
Maintain accurate files of invoices and contracts
Skills:
Experience with QuickBooks a must
Proficient in Google Sheets or Excel
Strong communication skills
Proactive
Ability to prioritize
Schedule:
Part Time: 24 hours / month
Pay: $30.00 - $40.00 per hour
Experience:
QuickBooks Online: 5 years
Spreadsheets: 5 Years
Administrative experience: 1 year
Bookkeeping: 5 years
Knowledge of athletic events and track helpful
