Monitor the day to day store operations and provide administrative support to the designated Service branch.

Responsibilities:

  • Operational:
1. Monitor Special Tool Store, consumable items and local goods kept in store, receive goods from local suppliers, verify goods for compliance and stores appropriately, issues Special Tools and other stocked items to workshop personnel upon request.
2. Receive goods (consumable) from local suppliers and verify compliance with purchase documents, arrange verification by qualified personnel for technical goods, and do the necessary System data entries on the designated system.
3. Store all items in suitable locations, based on weight size and shape as per the manufacturer recommendations, with proper labeling and marking to facilitate identification and indication of status as well as its location.
4. Store Special Tools in proper conditions and issue them to workshop personnel upon their need and request.
5. Initiate stock replenishment requisitioning as per the agreed logic and formula provided.
6. Maintain stock control, stock movements, including all receipts and issues documentation records, in addition to stock condition and validity checking.
7. Apply the Group's standard for housekeeping, personal safety and appearance to self and team members.
8. Create material management related requests and coordinate with Finance on settling invoices.
9. Organize transportation for staff on a daily basis.
10. Coordinate with Administration department and the Catering company to ensure the catering company serves lunch on time at the garage.
11. Create various system requests related to IT, Administration, Maintenance etc...and follow up with concerned parties to execute the assigned tasks.
12. Maintain paper and electronic filing systems for records, correspondence and other materials.
13. Coordinate with EHS and Finance on Monthly Waste Management requests for Scrap parts & Waste Oil.
14. Coordinate with Administration on Transfer Assets Location requests for Asset disposal.
15. Ensure the branch vehicles go through periodic vehicle maintenance and vehicle registration books are renewed on time.
16. Perform the duties of Time Keeper and assist in administrative duties such as arranging/distributing staff uniforms, arranging furniture/office equipment, arranging staff meetings, follow up on residency renewals, civil id renewal, residency process of overseas/local new hires in the designated Service branch.

 Prepare periodic and ad hoc reports and presentations.
 Document and maintain records of activities and process workflows on internal communication portals.
 Adhere to Al-Sayer Group policies and health and safety regulations.
 Perform other duties as requested by management.

Diploma (12th Standard + 2 or 3 years Diploma)
