Catering Sales & Events Coordinator

Job Overview:

The Catering Sales Coordinator is responsible for supporting the Management Team in sales and logistics for Messina’s food/beverage events at the Misi. The Catering Sales & Events Coordinator represents our company values and mission statement in all client communication and team communication. Catering Sales & Events Coordinator participates and communicates continually with the Sales Team, Operations Team, and Culinary Team to ensure that our clients’ expectations are exceeded. General Responsibilities:

· Serve as a first point of contact for incoming phone calls and emails.

· Assist with preparation of sales and event materials, including printed menu cards, place cards, and signage.

· Create and update event floor plan diagrams to reflect client needs and final layouts.

· Identify and develop new business opportunities for catering services.

· Develop and maintain relationships with clients to ensure repeat business.

· Respond to inquiries and requests for proposals (RFPs) in a timely and professional manner.

· Prepare and present proposals to clients, including menus, pricing, and event details.

· Negotiate contracts and terms with clients.

· Plan and coordinate event details with clients, including site visits, wedding tastings, and client meetings to ensure all aspects of the event are executed flawlessly and meet or exceed client expectations.

· Coordinate with vendors, such as florists, rental companies, and entertainment providers, to ensure that all event components are seamlessly integrated and executed.

· Support the Account Sales Executive in confirming timelines, menu selections, and setup details.

· Collaborate with the catering, culinary, banquet, and event setup teams to ensure smooth and efficient event execution.

· Assist with on-site event coordination to ensure smooth execution and client satisfaction; may attend events as a representative of the sales team.

· Collaborate with the social media coordinator to provide venue content and support online marketing efforts.

· Monitor and report on sales performance and market trends.

· Lead, manage, hire, train, develop, and supervise staff members across sales and other necessary departments, ensuring high standards of service and professionalism.

· Attend industry events and conferences to network and stay up-to-date on industry trends.

· Manage catering sales budgets and provide regular reporting to senior management.

· Conduct post-event follow-up with clients to obtain feedback and ensure satisfaction, using this information to continually improve catering services.

· Perform other duties and responsibilities as assigned.

Job Qualifications

Experience/Knowledge:

  • Minimum of 2 years of hospitality or event industry experience.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office; experience with Tripleseat, Canva and/or event diagram software is a plus.
  • Ability to multitask in a fast-paced environment.
  • Professional demeanor with a customer-focused approach.

Skills/Aptitude:

Physical Requirements:

· Ability to reach, bend, stoop, push and/or pull, and frequently lift up to 35 pounds and occasionally lift/move 50 pounds.

Working Conditions:

· Generally, in an indoor setting, however, may supervise outside activities and events.

· Varying schedule to include evenings, holidays, weekends, and extended hours based on the needs of the business.

· While performing the duties of this job, the employee is primarily in a controlled, temperate environment; however, may be exposed to heat/cold during support of outside activities.

· The noise level in the work environment is usually moderate to loud.

Job Type: Full-time

Pay: $18.00 - $22.00 per hour
