CFT Legal Executive Assistant

Summary of Job Description:

The Legal Executive Assistant is responsible for providing high level and highly confidential administrative support to the Chief Administrative Officer and General Counsel (“CAO & GC”) of the Cherng Family Trust (“CFT”). This position manages projects and plans and coordinates meetings and events. The Executive Assistant suggests potential improvements and implements changes under the guidance of the CAO & GC. This position also represents the CAO & GC in certain meetings, projects, and business and community relationships.


Job Responsibilities:

  • Administrative Support: Manages CAO & GC’s calendar, schedule meetings, and coordinates travel arrangements. Prepares agendas, takes meeting notes, and ensures follows up on action items for meetings for CFT and certain external organizations. Provides reliable, high-quality administrative support to enable the CAO & GC to focus on strategic responsibilities.
  • Communication Liaison: Serves as the primary point of contact for the Legal and Administrative Departments with respect to other departments and external business contacts. Facilitates communication between the Legal Department, Building Operations and Administration, and other departments as well as outside counsel.
  • Project Management: Coordinates and oversees projects as directed by the CAO & GC. Keeps track of timelines, ensures all parties are on schedule, and proactively communicates progress and any potential issues that may impact deliverables.
  • Financial Coordination: Oversees the Annual Operating Plan (AOP) for the Legal Department, Building Operations and Administration, including invoice processing and expense reports, as well as AOP and Management by Objectives (MBO) annual goals tracking. Assists in the development of the annual budget.
  • Information Management: Organizes, maintains, and retrieves corporate records and legal documents. Ensures that important information is readily available and up to date.
  • Event Planning: Organizes and coordinates events, including quarterly meetings, training, and personal development sessions. Manages logistics, communication, and post-event feedback.
  • Continuous Improvement: Continually evaluates office procedures for efficiency and accuracy, suggesting potential improvements and implementing changes under the guidance of the CAO & GC.

Your background and experience:

  • Bachelor’s degree required
  • 5+ years of relevant work experience
  • Successful completion of initial and periodically required trainings.
  • Obtaining a valid Food Handler's Card within 30 days of employment is a requirement of this position.


Pay Range: P3: $90,000-$126,500

  • Within the range, individual pay is determined using various factors, including work location and experience.
