GENERAL PURPOSE: Performs a wide variety of routine and complex supervisory, administrative, and clerical tasks for the City of Brunswick Mayor's Court.
SUPERVISION RECEIVED: Works under the broad policy guidance and direction of the City Manager/ Safety Director.
SUPERVISION EXERCISED: Supervises the Assistant Clerk of Courts; may supervise other full time, part time, or temporary staff as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Administers criminal proceedings and docketing.
Coordinates court matters with defendants, defense counsel, city prosecutor, police department, jail, alcohol agencies and other levels of the criminal justice administration system.
Supervises and administers the receipting, depositing and accounting monies for fines, forfeitures, and other court receipts both from the Court window and Division of Police.
Prepares reports for state and local agencies.
Prepares correspondence and maintains records.
Prepares the annual budget requests for court; administers adopted court budget in accordance with City policies and procedures.
Receives logs and indexes incoming citations and complaints.
Responds to requests from municipal judges, City prosecutor, Police Department and others for assistance and information;; processes discovery activity requires from office.
Initiates related paperwork as needed by defendants to facilitate their response to a citation or complaint.
Process failure to pay; failure to comply; and failure to appear notices and journal entries for Court ordered vehicle immobilization and vehicle releases.
Prepares and maintains appropriate calendars; sets up court hearings.
Updates defendant's insurance status when proof is provided after initial data entry.
Processes waivers, bench warrants, contempt of court, money due letters, license forfeiture letters; forfeitures and reinstatements of licenses.
Processes bonds received for other courts.
PERIPHERAL DUTIES: Employee may be asked to perform other duties based on the business needs of the City. The employee may be asked to work holidays.
QUALIFICATIONS:
EDUCATION: High School Diploma or GED equivalent; Associates degree or Bachelors degree preferred; prior experience in secretarial, clerical, paralegal or administrative work primarily in a legal environment. Certification of Clerk of Courts preferred.
NECESSARY KNOWLEDGE, SKILLS, AND ABILITIES:
Thorough knowledge of legal language and legal procedures related to Mayor's Court functions; considerable knowledge of general office procedures; some knowledge of basic bookkeeping practices; thorough knowledge of criminal, traffic and infraction procedures.
Ability to work a flexible schedule to attend court in the evening when required.
Ability to handle stressful situations; ability to type and enter data accurately; ability to be bonded.
SPECIFIC REQUIREMENTS:
Certification as a Clerk of Court, or certification must be obtained within two (2) years of starting in this position. Ability to be bonded. Must have a valid State of Ohio driver's license.
TOOLS AND EQUIPMENT USED:
Personal computer system, including word processing and specialized court software, ten key calculator; typewriter, telephone, copy / fax machine.
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
