Job Description
We are seeking a highly professional and focused Client Care Coordinator with an esthetician or medical assistant license. The ideal candidate will be the first point of contact for our clients, ensuring a seamless and positive experience from booking to checkout. Prior experience in a medical spa or dermatology clinic is required.

Responsibilities

  • Patient Advocacy & Education: Act as the primary point of contact for patient inquiries; provide accurate information regarding pre- and post-operative care, treatment protocols, and expected outcomes.
  • Clinical Integration: Utilize clinical licensure to assist providers with patient intake, medical history review, and skin analysis where required.
  • Operational Management: Oversee the spa schedule, optimizing provider efficiency while maintaining a gold-standard patient experience.
  • Revenue Management: Manage point-of-sale operations, including medical-grade skincare sales, treatment package renewals, and loyalty program tracking.
  • Educate clients about treatments, promotions, and skincare products
  • Quality Control: Ensure all patient records are maintained in compliance with HIPAA regulations and internal clinical standards.
  • Promote and sell medical-grade skincare products to clients
  • Assist in social media engagement and marketing efforts as needed

Requirements
** Minimum 2 years of experience in a medical spa or dermatology clinic (required)**

  • Licensure: Active State License as an Esthetician or Medical Assistant.
  • Communication: Exceptional verbal and written communication skills with a focus on professional etiquette and patient confidentiality.
  • Knowledge of aesthetic and wellness treatments, plus skincare products.
  • Schedule: Ability to work a fixed Tuesday through Saturday schedule consistently.
  • Technical Skills: Proficiency in EMR/EHR software (e.g., Aesthetics Pro, Aesthetic Record, Nextech, or similar).
  • Ability to multitask in a fast-paced environment.
  • Professional appearance and demeanor.

Preferred Qualifications

  • Detail-Oriented: Ability to manage complex scheduling and financial transactions with zero errors.
  • Bilingual: Spanish fluency is highly beneficial and preferred.
  • Clinical Knowledge: Strong understanding of neurotoxins, dermal fillers, laser modalities, and medical-grade chemical peels.
  • Problem-Solving: Proactive approach to resolving patient concerns or scheduling conflicts in a fast-paced environment.
