Austin Veterinary Emergency & Specialty (AVES) is seeking Client Service Representatives to join our team! Our CSRs play a critical role in creating a welcoming, compassionate experience for every pet and owner who walks through our doors. From the very first phone call to discharge and follow-up, our client service team helps ensure families feel supported, informed, and cared for during what can often be a stressful time.

In this role, you will be a key connection point between pet owners, veterinary teams, and referring hospitals. You will assist with client communication, patient check-ins, appointment coordination, medical record processing, message documentation for medical teams, financial transactions, and end-of-day reporting. Most importantly, you will help create a calm, organized, and empathetic environment for our clients and their beloved pets.

We are looking for individuals who are detail-oriented, compassionate, strong communicators, and team-focused, with the ability to think critically and remain calm in a fast-paced emergency and specialty environment.

About AVES:

Austin Veterinary Emergency & Specialty is locally managed by one of its original founders, Lindsay Vaughn, DVM, DACVECC, and has grown into a progressive, multi-disciplinary veterinary hospital serving Central Texas.

With the opening of our new 45,000 square foot hospital, AVES continues to expand our ability to provide advanced veterinary care. This facility will introduce additional specialty services, including radiation oncology, allowing us to offer fully integrated oncology care for our patients.Our current specialties include:

  • Internal Medicine
  • Surgery
  • Neurology
  • Critical Care
  • Medical Oncology
  • Anesthesiology
  • Diagnostic Imaging
  • Radiation Oncology

Our hospital utilizes advanced diagnostic tools including ultrasound, CT, MRI, fluoroscopy, digital radiography, and high-flow oxygen therapy. We also partner with CVCA Cardiac Care for Pets to provide cardiology services for hospitalized patients.

As both our inpatient and outpatient facilities grow, we anticipate adding additional specialties including rehabilitation, dermatology, and ophthalmology.

What You’ll Do:

As a Client Service Representative, you will help create an exceptional experience for our clients by:

  • Greeting and assisting clients and their pets with professionalism, empathy, and efficiency
  • Answering a high volume of phone calls and providing clear, helpful information to clients and referring veterinarians
  • Managing communications, emails, and other correspondence
  • Scheduling appointments and coordinating patient arrivals
  • Checking clients and patients in and out of the hospital
  • Processing medical records and documentation accurately
  • Transcribing and routing messages to the appropriate medical teams and departments
  • Communicating with hospitals, veterinarians, and patient care teams regarding updates and records
  • Processing financial transactions and assisting with end-of-day reporting
  • Helping maintain an organized, welcoming lobby and reception environment
  • Supporting smooth communication between departments to ensure the best experience for clients and patients

What We’re Looking For:

At AVES, our Client Service Representatives are more than receptionists - they are client experience advocates. As the first point of contact for our hospital, CSRs set the tone for every visit and play an essential role in helping pet owners feel welcomed, supported, and confident in the care their pet will receive.

We are looking for individuals who are passionate about creating meaningful client experiences, who naturally lead with empathy, and who understand how important trust and communication are when families are facing stressful medical situations with their pets.

Our Client Service team also plays an important role in supporting our referring veterinary partners, helping ensure their calls, records, and communications are handled promptly, professionally, and with the same level of care we provide our clients.

Schedule Options:

AVES is a 24/7 Emergency and Specialty Hospital, and our CSR schedules are designed to support continuous patient care.

Schedules are typically 3–4 days per week depending on shift length.

Because we operate 24/7, each team member works one weekend day as part of their regular schedule (for example, Sunday–Wednesday or Wednesday–Saturday rotations). This helps ensure consistent coverage while still allowing for predictable days off each week.

Occasional holiday coverage required to support our 24/7/365
